Office & Accounting Administrator

Overview We are seeking a detail-oriented and organized Office & Accounting Administrator to oversee daily administrative operations and financial processes. This role requires strong communication skills, solid bookkeeping experience, and the ability to streamline systems and procedures to enhance efficiency across the organization. The ideal candidate is proactive, tech-savvy, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities Manage Accounts Payable (AP) and Accounts Receivable (AR) processes, ensuring accuracy and timely payments/collections.

Prepare and send invoices for monthly retainers and client reimbursements.

Maintain accurate financial records, reconcile accounts, and generate monthly financial reports (including P&L summaries).

Support budgeting, forecasting, and expense management activities.

Coordinate with outside accounting firms for tax filings and other compliance matters.

Monitor and manage sales team expenses, including credit card receipts and monthly expense reports.

Perform a wide range of administrative duties, including correspondence, scheduling, and document management.

Oversee mail, shipping, and expedited services.

Maintain organized filing systems—both digital and physical—for company and accounting records.

Manage office supplies, equipment rentals, and vendor agreements (e.g., copiers, computers, storage).

Track and manage employee vacation schedules and time-off requests.

Provide monthly financial and operational updates to company leadership.

Qualifications Strong communication, organization, and multitasking abilities.

Proficiency with QuickBooks and Microsoft Office Suite (Excel, Word, Outlook).

Basic accounting and bookkeeping experience required.

Experience managing or coordinating with external vendors and accounting firms.

High attention to detail and ability to handle confidential information responsibly.

Ability to work independently and suggest process improvements.

Preferred Skills Previous experience in small business operations or professional services environment.
