Summary The Concierge is responsible for greeting visitors, fulfilling resident requests, arranging tours of the property, answering a multi‑line telephone, and providing clerical support to the administrative staff at a WellQuest Living community. Reports to the Business Office Director.
Essential Functions, Duties and Responsibilities
Provide exceptional customer service to residents, guests, and visitors during in‑person and telephone interactions.
Greet all residents and visitors, provide information about the property, and direct them to the appropriate office or resident apartment.
Assist residents, family members, and guests with general requests.
Arrange tours of the property for spontaneous visitors and scheduled appointments.
Answer telephones, record and channel information, direct calls, and relay messages in a timely, clear, polite, concise, and professional manner.
Display knowledge of the services, programs, and other pertinent information regarding the property.
Handle mail, stamps, copying, and other office operations; record receipt of packages and contact residents for pickup.
Effectively handle business center requests such as photocopying, faxing, shipping of mail, etc.
Process incoming mail and distribute to appropriate mailboxes.
Complete all opening and closing duties.
Take reservations (dining rooms, activities, transportation) accurately.
Receive and record maintenance work order requests and deliver them to the Maintenance Department.
Monitor the Emergency Alert System and respond immediately to every call.
Maintain the Resident Notice Binder and reception area in a neat and orderly fashion.
Arrange parking and retrieval of valet cars; organize wake‑up calls, dry cleaning, pet care, housekeeping, etc. as requested by residents.
Fulfill “personal concierge” requests such as restaurant reservations, tee times, directions, internet research, etc.
Maintain reception area appearance and ensure up‑to‑date property literature is displayed.
Ensure posted signage is accurate and current.
Perform clerical duties for property staff as directed by supervisor.
Update and assemble marketing packets for inquiries.
Respond promptly to resident concerns, emergency calls, and grievances; promote resident morale.
Support community marketing efforts through positive interaction during property tours and telephone contact.
Communicate resident condition changes to supervisor immediately.
Maintain a safe environment for staff, residents, and guests following safety standards.
Encourage teamwork through cooperative interactions with co‑workers and other departments.
Provide a positive, professional image through actions and dress.
Education High school education is required.
Experience Minimum of two years in a related position, preferably in a hospitality setting.
Skills
Addition, subtraction, and multiplication.
Understanding of issues and ability to process information for feedback.
Excellent oral and written communication skills; active listening.
Ability to speak, write, and read English.
Proficiency with basic office equipment and software.
Equipment Used Proficient in basic office equipment, including a personal computer and office software.
Physical Effort Mobile; able to perform physical requirements verified by a health screening.
Personal Characteristics Displays sincere compassion towards older adults; demonstrates genuine concern for their physical and emotional needs.
Working Conditions Well‑lighted, safe lobby with comfortable ventilation and appropriate temperatures.
