More About The Role Reporting into the Practice Manager, the Client Service Representative (CSR) provides an exceptional experience to our clients during every interaction. In addition to engaging clients consistently, the CSR performs practice administrative tasks such as record maintenance, appointment tracking, reception management, account and cash processing, data entry, and mail services. The CSR applies practical knowledge of practice processes and core regulations to ensure every patient is well‑cared for and every client has an exceptional experience.

Previous customer experience preferred.

Hours of Operation

Monday‑Friday: 8 AM – 5 PM

Saturday: Closed

Sunday: Closed

Pay Range $16 – $17 per hour.

Communicating: Convey instructions to clients and teammates for successful patient care.

Active Listening: Follow doctors’ instructions and anticipate needs.

Organization Skills: Track lab specimens, medications, instructions, workflow, and manage multiple patients.

Client Satisfaction: Ensure all interactions result in highest client satisfaction.

Essential Responsibilities

Lead practice opening and closing procedures per Practice Manager instructions.

Ensure all public areas are clean and presentable for patients.

Process cash, checks, credit card payments, and credit account payments.

Schedule appointments in accordance with practice and doctor preferences.

Assist in updating client/patient files as needed.

Prepare and send client correspondence.

Send reminder notices and conduct re‑calls to clients from the call back list.

Perform backup of computer system as directed.

Oversee posting of daily business.

Welcome clients and patients with a warm and friendly demeanor.

Answer incoming telephone calls applying proper telephone etiquette.

Presents clients with medications, instructions, new client kits, and other take‑home items.

Handle emergency situations with care, patience, and following established policies.

Address client concerns calmly and ensure satisfaction.

Requirements / Qualifications

High school diploma or equivalent.

Previous veterinary experience preferred.

Client satisfaction references preferred.

Practices OSHA safety techniques and proper PPE.
