- Pay Range: $16.80 – $25.20
Order Entry and Verification
- Accurately enter orders into computer and record current time on order sheet.
- Review all charts for stat/now orders and immediately notify nurse of orders.
- Follow correct procedure in relaying orders to Pharmacy and other departments.
- Clarify all unfamiliar orders with nurse, physician or physician extender.
- Follow through on order verification, flagging charts and 24‑hour verification.
- Effectively manage different levels of downtime/recovery.
- Schedule and successfully complete all PRISM update training courses.
Medical Record Maintenance & HIPAA Compliance
- Maintain patient chart confidentiality.
- Print and collate appropriate documents.
- Assure that only authorized individuals access patient charts/PHI and maintain confidentiality.
- File documents correctly and in a timely manner.
- Split charts when required and maintain split charts per policy.
- Ensure sufficient blank forms and materials are in chart.
- Keep charts neat, clean, in good repair and labeled appropriately.
- Assure appropriate chart copies are made for patient transfer.
- Assemble sufficient chart packets.
- Break down discharge charts per policy for pickup by HIM.
- Label all pages/forms with correct patient identification.
Central Communication and Reception Hub
- Relay patient and family requests promptly and correctly.
- Relay alarm information promptly and correctly.
- Initiate and coordinate phone calls to ancillary departments, employees and other members of the healthcare team per requirement.
- Assist physicians and other disciplines in locating charts, staff, lab and radiology reports.
- Serve as main receptionist for patients, families, visitors and others on the unit.
Central Station & Equipment Maintenance
- Maintain a neat and clean work area, including the central station.
- Troubleshoot office and communication equipment (fax, printer, scanner, etc.).
- Replace or remove printer paper, toner, etc.
- Complete work orders for Facility Management and Clinical Engineering and follow up on status.
Patient Throughput Management
- Maintain unit log book accurately and timely.
- Admit, transfer and discharge patients according to procedure, including entry into various clinical information systems.
- Communicate with Charge Nurse/patient’s nurse and other departments to assure optimal patient throughput.
- Prepare patient armbands and information as requested.
- Utilize bed tracking process for initiating changes in bed status.
- Manage discharge/transfer charts in a timely manner, ensuring no delays.
Supplies & Materials Coordination
- Ensure all supplies are counted, ordered and charges captured appropriately for the unit.
- Assist with stocking of supplies as appropriate.
- Order forms and supplies for unit to assure appropriate stock.
- Facilitate obtaining equipment, supplies or blood as appropriate.
- Enter charges and other information into various systems as appropriate.
Professional Growth & Accountability
- Facilitate correct placement of all communications received from printer – notify patient’s nurse of any orders entered by physician.
- Attend 50% of staff and quarterly MR meetings, reading and initialing minutes of all missed meetings.
- Attend relevant in‑service education.
- Perform other duties as assigned.
- Demonstrate commitment to co‑workers and comply with unit‑specific articulated job expectations.
Licensure, Registration, and Certification
None
Education Required
High school diploma or GED equivalency certification required.
Experience Required
One year experience with computer programs and public contact required. Must have demonstrated ability to prioritize and organize work in stressful environments and deal with customers in a positive manner.
Knowledge, Skills & Abilities Required
- Six to eight weeks structured training required; an additional two to three weeks of shift orientation required to become independently functional.
- Demonstrates ability to operate and problem‑solve with equipment.
- Must be able to perform duties with a high degree of accuracy.
- Must have good communication skill and be able to utilize tact and diplomacy when dealing with patients, patient’s families, visitors, physicians and other staff.
- Must display courtesy and friendliness at all times.
- Must be able to work irregular schedules, holidays and weekends due to staffing and census fluctuation.
- Discretion required in handling confidential information.
- Must be able to recognize the pivotal nature of the position and its impact on hospital growth, service excellence and financial performance.
Physical Requirements and Working Conditions
- Visual acuity to see monitor screen, computer and hard‑copy materials.
- Hears and verbally communicates in person and over phone or radio.
- Sits for prolonged periods up to 2 hours.
- Comprehends and learns operation of various office equipment.
- Has functional range of motion of cervical, thoracic and lumbar spines, upper and lower extremities with grip strength 50‑60#.
- Forward reach, overhead reach, bend, squat, kneel and apply proper body mechanics during transfers and transport of supplies/equipment using proper body mechanics.
- Lifts up to 10#.

Under the supervision of the Nurse in Charge of the unit, acts in a pivotal position at the nursing unit desk. Facilitates timely and accurate order entry, maintains the medical record, serves as a central communication and reception hub, maintains order and cleanliness of central station, coordinates various non‑clinical unit activities, and performs numerous clerical and miscellaneous functions in support of effective and efficient patient care.
