Job Description The Utah Department of Transportation (UDOT) is seeking a dependable and detail-focused Office Specialist II to provide administrative support for Region Three in Orem, Utah. We're looking for someone who's dependable, detail-oriented, and a great communicator to help keep our operations running smoothly.

This position is based at the front desk of UDOT's Region Three office in Orem, Utah, and provides essential administrative and customer service support. The role reports directly to the Region Three Senior Communications Manager, with a secondary reporting line to the Region Three Director. In this position, you will assist with office operations, support regional leadership, and help inform and educate the public and partner agencies about UDOT's programs, goals, and initiatives. This is a part-time, job-share position working Monday through Friday (or alternating days with the other job-share employee) for approximately 20-25 hours per week during regular business hours (Monday-Friday, 8:00 a.m. to 5:00 p.m., excluding holidays). The final schedule will be determined but must fall within normal business hours.

Principle Duties Provides administrative office support and screens access to the Region Director and Region Senior Communications Manager. Greets patrons at the front desk, answers incoming calls and emails with the goal of creating a positive customer experience. Schedules and/or coordinates appointments, meetings, facilities, meals, equipment, etc. and follows up as needed. Receives, researches and responds to incoming questions or complaints; provides information, explains policy and procedures, and/or facilitates a resolution. Maintains and/or creates files or record keeping systems. Helps create written responses to public inquiries. Assists with publid outreach, flyers, coordination, etc. Edits written material for accuracy, format, and arrangement of material. Assists with developing and framing social media messages. Coordinates and/or acts as a liaison between Region Three and other agencies, work units, organizations, consulting firms, etc. Minimum Qualifications The qualified candidate will have the following:

Experience providing office or clerical support in a professional office environment. Proficiency with computer applications, including Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides) Has written and verbal communication skills. Demonstrated commitment to providing excellent customer service. Ability to work effectively and professionally with others, demonstrating tact and sensitivity. Self-motivated, proactive, and detail-oriented, with the ability to manage multiple tasks and priorities. Capable of exercising sound judgment, initiative, and resourcefulness in a variety of situations. Preference Preference may be given to applicants with:

Experience working in a customer service-related position. Experience editing documents as a function of your position. Experience or knowledge related to the transportation industry. This is a part-time, job-share position working Monday through Friday (or alternating days with the other job-share employee) for approximately 20-25 hours per week during regular business hours (Monday-Friday, 8:00 a.m. to 5:00 p.m., excluding holidays). The final schedule will be determined but must fall within normal business hours. Risks found in the typical office setting, which is adequately lighted, heated, and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc. Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work. Employee may be reassigned to a different location as deemed necessary by the Region Director/Group Leader.
