Executive Assistant to the CEO

who will serve as a true strategic partner. This role exists to

create time, focus, and relational capacity

for our CEO by managing schedules, follow-through, and visibility—both internally and in the community.

You will be the linchpin behind the scenes, ensuring the CEO operates at peak performance through streamlined systems, clear communication, and consistent execution.

Why This Role Matters: This is

not a traditional admin role . As the Executive Assistant, you’ll:

Anticipate needs and provide strategic insight

Coordinate high-impact meetings and events

Nurture key relationships with community leaders, referral partners, and political figures

Ensure our CEO’s brand and voice are clearly communicated in all channels

Serve as a gatekeeper and thought partner, helping turn long-term strategy into daily action

Key Responsibilities: ⏱ Time & Calendar Management

Maintain a strategic calendar aligned with top priorities

Block time for deep work, rest, and family balance

Prep daily agendas and materials for CEO meetings

Meeting Coordination & Follow-up

Ensure every meeting has an agenda, pre-read materials, and clear follow-up tasks

Attend leadership meetings, capture notes, and track progress in Asana

Communication & Inbox Management

Triage CEO inbox daily, elevate only priority messages

Draft professional correspondence, talking points, and internal updates

Maintain discretion and manage sensitive information with care

Task, Project & System Oversight

Keep the CEO’s dashboard updated in Asana

Identify bottlenecks and make proactive recommendations

Introduce at least one system/process improvement per quarter

Relationship Management

Manage the CEO’s

relationship tracker

in Monday.com

Coordinate engagement with community, political, and industry stakeholders

Track birthdays, milestones, and follow-up opportunities

Prepare thoughtful acknowledgments (gifts, thank-you notes)

✈️ Travel & Event Planning

Coordinate all CEO travel logistics and attendance at events

Plan internal retreats and leadership offsites

Strategic Alignment & Brand Stewardship

Lead daily and weekly syncs with the CEO to align priorities

Support the CEO’s public presence, speaking engagements, and media outreach

Ensure digital and in-person visibility is aligned with brand and mission

Personal & Household Support

Coordinate personal appointments, reservations, and family scheduling

Manage household vendors and services (e.g., repairs, deliveries, maintenance)

Order household supplies or assist with errands as needed

Support family and personal travel planning and logistics

Organize home office needs or special household projects

Track and coordinate family events, celebrations, and seasonal needs

Assist with general organization and life logistics to protect the CEO's mental and emotional bandwidth

Success in This Role Means:

98%+ scheduling accuracy and calendar alignment

100% of meetings have agendas and follow-up

100% of key relationships are followed up within 2 weeks

CEO spends ≥90% of time on high-value work

Inbox is triaged daily and trust is never breached

Strategic insights and improvements are proposed quarterly

Preferred Experience

Prior experience in an Executive Assistant or high-level support role

Background in community engagement, politics, or nonprofit sectors

Familiarity with branding and professional communications
