LEGAL ADMINISTRATIVE ASSISTANT
Clark Hill PLC is seeking a full‑time Legal Secretary with 2–3 years of litigation experience to join its Chicago office. This role reports to the Office Manager and assigned attorneys and is responsible for providing comprehensive legal secretarial and administrative support. Duties include preparing letters, memos, pleadings, and other legal documents; entering conflict information and supporting documentation for new client intake; filing pleadings electronically or manually with the appropriate court systems; docketing deadlines into a central system; coordinating travel arrangements and expense reimbursements; providing documentation to clients and other parties; answering direct‑dial calls for assigned attorneys; maintaining organized filing systems for attorney and client work; and entering attorney time. While the position primarily supports litigation attorneys, flexibility to assist others across practice areas is expected.
Responsibilities
Provide general administrative assistance, such as maintaining the attorney's calendar and making travel arrangements.
Provide administrative and litigation assistance to Team Lead and assigned Teams.
Draft and proofread correspondence and legal documents, such as pleadings and contracts.
Create letters, memos and reports as required. Prepare and distribute office correspondence.
Enter conflict information into the system for the purpose of running conflict checks for new clients and opening new matters.
Electronically file motions (when applicable) with the appropriate court system(s).
Manage client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues in cooperation with the billing attorney.
Understands and delivers to the needs of the internal customers.
Completes and submits check request forms.
Communicate with clients and witnesses to schedule meetings, interviews, and depositions.
Train in various technology applications used across the firm as needed.
Manages, organizes, and maintains documents in paper or electronic filing systems.
Provides documentation, as required, to clients and opposing counsel.
Manages incoming phone calls inquiries (as required by some attorneys).
Performs other duties or tasks as assigned or requested by the Office Manager, attorneys, paralegals or Business Unit Leader, and other related tasks.
Skills And Minimum Requirements
Minimum 2–3 years of experience as a Legal Administrative Assistant.
High School diploma or GED equivalent required.
Highly competent in MS Office applications (Word, Outlook, etc.) and other legal software as needed.
Exceptional attention to detail and proofreading skills.
Strong organizational and prioritization abilities.
Effective verbal and written communication.
Ability to manage multiple tasks and support several attorneys simultaneously.
Sound judgment and professional demeanor when interacting with clients, colleagues, and guests.
Quick learner who adapts well to change.
Self‑motivated and proactive with a strong sense of initiative.
Collaborative team player with supportive interpersonal skills.
The salary range at the time of posting is $60,000.00–$85,000.00 annually, based upon a full‑time work schedule. This position is eligible for an annual discretionary bonus. In addition, Clark Hill offers employees the ability to participate in health insurance with optional HSA/FSA, short‑term disability, long‑term disability, dental insurance, vision care, life insurance, 401(k), PTO, parking/public transportation allowance, an employee assistance program and a hybrid work schedule after completing probationary period.
