Facilities and Office Coordinator Boston, MA – Onsite

Role Summary The Facilities and Office Coordinator works cohesively with facilities and administrative team members and requires an upbeat, professional demeanor and communication skills. This is a full-time position Monday through Friday from 8am to 5pm, subject to change based on the needs of the company. The position is customer service focused and team-oriented with the capability to work independently and meet deadlines. The role requires time management and multi-tasking abilities, must be organized, flexible, resourceful, enthusiastic, and focused with excellent follow-through abilities.

Responsibilities: Facility Services

Cleans and maintains parking lots and grounds daily Set up and breakdown meetings and events (occasional evening hours required) Process maintenance requests from Building Superintendents Perform routine building maintenance, such as repairing hardware, painting, replacing light bulbs, and minor carpentry, plumbing, and electrical/mechanical repairs Office Administration

Cover front desk, greet visitors, answer, and direct inbound calls to the main phone line and schedule courier services Maintain kitchenettes, locker-rooms, coffee, and candy bar areas, stock supplies as needed, and maintain cleanliness of counters and tables Mailroom Services

Operate and maintain postage machine including supplies, services, reports, and funds Receive, sort, and distribute incoming mail Retrieve, weigh, meter, and record outbound mail in accordance with US Government Client guidelines Pickup and drop off mail and packages at Roxbury, MA US Post Office Prepare outbound FedEx and UPS shipments of all sizes and weights Assist with new hire setups and office relocations Order supplies, business cards, and maintain amenities schedules Download and cost code weekly FedEx and UPS invoicing

Requirements:

5 years of work experience in building maintenance Basic computer skills including internet and Microsoft Office Suite programs (e.g., Outlook, Word, basic Excel) Requires a valid driver's license OSHA 10 hour and CPR/First Aid certified required Ability to maintain a detailed recordkeeping system and prepare correspondence relating to reports and inquiries
