Responsibilities
Executive Assistant
Provide high‑quality administrative/clerical support for Citation’s Executive Department.
Directly support the Chief Executive Officer and the Chief Operating Officer.
Perform a wide range of administrative duties: maintain electronic calendars, schedule and coordinate meetings, file corporate documents, organize and distribute mail, make travel arrangements, prepare monthly reports, and manage phone calls and emails.
Handle special projects such as planning and coordinating the annual Board of Directors meeting, the annual off‑site budget meeting, quarterly regional meetings, and other periodic corporate events.
Serve as a liaison between the CEO and company pilots for aircraft use and travel arrangements; manage scheduling, reporting, calendar management, and administration of corporate aircraft.
Serve as a liaison between the CEO and the Corporate Facility manager for facility use requests; handle scheduling, calendar management, and monthly/annual reporting.
Prepare and submit expense reports and health/dental insurance claims for the CEO and COO.
Manage files and records for the executive department and supported officers.
Work in‑office Monday through Friday.
Bookkeeper Support
Act as liaison to third‑party bookkeeper for several businesses owned directly by the CEO.
Effectively communicate and routinely submit invoices and other documents for payment to suppliers, vendors, and service providers.
Assist the bookkeeper in processing and recording financial transactions, including accounts receivable, accounts payable, and capital transactions.
Routinely prepare tables, reports, and schedules supporting business operations and management.
Family Office Administrator
Prepare and administer subscription agreements.
Track capital calls and distributions.
Effectively communicate with banks and financial partners.
Prepare quarterly reporting of financial performance.
Coordinate meetings and calls with fund managers and financial advisors.
Liaise with accounting and tax advisors.
Qualifications
Proven work experience as a Senior Executive Assistant, Executive Administrative Assistant, Personal Assistant, or similar role in a private family office (5+ years); experience with bookkeeping for a small business is a plus.
Polished professional with excellent written and verbal communication skills and strong organizational abilities.
Advanced computer skills with proficiency in Microsoft Office applications (Outlook, Excel, Word, PowerPoint).
Knowledge of C‑suite corporate office processes and procedures.
Strong analytical skills with knowledge of account balances, ledgers, and budgets.
Experience exercising discretion and confidentiality with sensitive company and personal information.
Capable of managing external vendors and soliciting bids for products and services.
Excellent organizational skills with an ability to think proactively and prioritize work independently.
College degree required.
Education Bachelor’s degree required.
