Position Overview
The Bookkeeper / Office Manager is a full‑time position responsible for both the financial and administrative aspects of the office. Duties include bookkeeping, payroll, office operations, and preparing reports while ensuring accuracy in financial records.
Key Responsibilities
Prepare and maintain financial reports, including budgets, balance sheets, reconciliations, job costing, and aging reports at required frequencies.
Oversee collections and maintain rigorous oversight of accounts receivable.
Process accounts receivable (AR) and payable (AP) by entering and verifying client invoices, vendor bills, and project purchase orders using QuickBooks Online and Jobber.
Administer payroll, track employee reimbursements, and manage chargeback accuracy to clients.
Manage vendor relationships to secure best rates and payment terms.
Stay current with best practices and legal requirements related to finance and operations.
Review, negotiate, and manage insurance policies (health, auto, workers’ comp, property).
Coordinate employee benefit programs with brokerage firms, ADP, or internal partners.
Maintain financial records in paper and cloud‑based file systems.
Respond to calls or emails from clients or staff and route issues to the appropriate individuals.
Manage calendars for field technicians in coordination with the Field Service Manager.
Oversee maintenance and upkeep of the office environment.
Procure office supplies and manage vendor relationships for services such as security, cleaning, and repairs.
Qualifications
Minimum five (5) years of experience in a traditional office environment.
Proven proficiency with QuickBooks Online (minimum 3 years).
Strong analytical, problem‑solving, negotiation, and prioritization skills.
Excellent written and verbal communication; proven client follow‑up record.
Ability to work independently and manage multiple situations simultaneously.
Professional demeanor, appearance, and work environment stewardship.
Required Skills and Abilities
Extensive understanding of QuickBooks Online.
Proficient use of Microsoft Office 365, especially Excel.
Experience with Adobe Acrobat Pro for converting and compiling PDFs.
Knowledge of Jobber dispatching/billing software is a plus.
Strong oral and written communication skills.
Effective work in a fast‑paced environment with changing priorities.
