The Executive Assistant will provide an advanced level of administrative support to the CEO and CFO of the New York Proton Center. Responsibilities include generation of reports, filing, coordination of department administration, calendar and meeting coordination, travel arrangements, records retention and file management, processing purchase orders, ordering and managing departmental supplies, expense report reconciliation, training class support, taking meeting minutes, and general event support. The Executive Assistant must exercise good judgment, handle sensitive information discreetly, take initiative, and communicate effectively both orally and in writing. This role requires a high level of organization, problem-solving, and the ability to support leaders to maximize their time and impact. Duties and responsibilities
Administrative Support:
Manage complex calendars, coordinate meetings, prepare agendas, materials, and presentations for internal and external meetings (including board meetings), handle correspondence, and maintain confidential files and governance-related materials. Operational Coordination:
Coordinate domestic and international travel, track deadlines and deliverables, liaise with internal teams and external partners, assist with planning events, and manage office supplies and conference room reservations. Governance and Board Support:
Assist with board meetings and governance activities, prepare board packs, coordinate logistics, take confidential minutes, and maintain governance records and compliance documentation. Strategic & Executive Support:
Anticipate executive needs, conduct research, prepare reports, serve as gatekeeper to align time with priorities, ensure HIPAA/compliance adherence, and perform other related duties as assigned. Qualifications
Bachelor’s degree in business administration or related field preferred. Healthcare experience preferred. Proven work experience as an Executive Assistant supporting C-suite leaders. Hands-on experience with administrative software and MS Office; familiarity with project management tools. Ability to handle confidential information with integrity and discretion; strong written and verbal communication skills. Strong organizational and time management skills with attention to detail; able to work independently and under pressure. Schedule
