Administrative Support Specialist
Job Description This role serves as the primary point of administrative contact for both internal and external inquiries. The position provides critical administrative support to relieve specific areas of coverage, such as reception, and assists departments, managers, and staff with various administrative details. Responsibilities include word processing, spreadsheet creation, data entry, filing, and meeting scheduling to facilitate smooth operations and professional service delivery.
Responsibilities
Assist department manager and staff with a variety of administrative tasks, including answering phones, photocopying, filing, mailing, and meeting coordination.
Handle incoming and outgoing communication and mail, record keeping, bill payment, and document preparation, including collating, assembling, packaging, and shipping.
Act as a communications hub for the office.
Prioritize workflow to manage multiple requests and frequent interruptions effectively.
Anticipate or recognize problems and promptly refer them to the appropriate person or department for resolution.
Coordinate meeting preparations, notices, calendar scheduling, and catering, including set‑up and clean‑up.
Order office and hospitality supplies as needed.
Maintain and schedule conference room bookings.
Enter invoices into the system.
Provide backup support to various areas, such as reception and departments, as required.
Essential Skills
Proficiency in data entry and administrative tasks
Strong organizational and multitasking abilities
Excellent communication skills
Additional Skills & Qualifications
Experience in administrative support roles
Familiarity with office software for word processing and spreadsheets
Work Environment This position requires working on-site.
Job Type & Location Contract position based out of Raleigh, North Carolina.
Pay And Benefits The pay range for this position is $25.00 - $25.00/hr.
