Executive Assistant to the Chief Financial Officer Higher Education Sector | Full-Time | On-Site

Our client, a respected institution in the higher education sector, is seeking a highly skilled and motivated

Executive Assistant to the Chief Financial Officer (CFO) . This position provides comprehensive administrative and operational support to the CFO and the broader Business & Finance division.

The ideal candidate will be a proactive, organized, and resourceful professional who thrives in a mission-driven, collaborative academic environment. This individual will serve as a trusted partner to the CFO—managing complex schedules, coordinating communications, supporting key initiatives, and maintaining effective relationships across the institution and with external stakeholders.

Key Responsibilities

Manage and prioritize the CFO’s calendar, resolve scheduling conflicts, and coordinate meetings and events.

Prepare and review correspondence, presentations, reports, and meeting materials.

Serve as the primary point of contact for the CFO’s office, providing exceptional customer service to internal and external constituents.

Handle confidential and sensitive information with the highest level of discretion and professionalism.

Support the coordination of divisional initiatives, projects, and special events.

Manage divisional web content and oversee departmental communications.

Track key deadlines, deliverables, and follow-up actions for strategic and operational priorities.

Process and reconcile invoices, purchase orders, contracts, and expense reports.

Provide logistical and administrative support for board and committee meetings, including material preparation and minutes.

Maintain organized digital and physical filing systems, office supplies, and departmental records.

Arrange business travel for the CFO and ensure smooth logistics for all engagements.

Collaborate with other executive and administrative assistants to align best practices and improve efficiency.

Required Qualifications

Bachelor’s degree required.

Minimum of five (5) years of experience providing high-level administrative support to senior executives.

Preferred Qualifications

Prior experience in higher education or a mission-driven organization.

Proven ability to manage multiple priorities in a fast-paced, dynamic environment.

Knowledge, Skills, And Abilities

Exceptional organizational, communication, and interpersonal skills.

Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Teams, and Outlook).

Strong problem-solving abilities, sound judgment, and a proactive approach.

Ability to work independently and collaboratively with minimal supervision.

High level of professionalism, discretion, and attention to detail.

Physical Requirements

Ability to remain seated for extended periods and perform standard office tasks.

Occasional lifting (up to 10 lbs), walking, and movement within the office environment.

This is an on-site position requiring physical presence during standard business hours.
