Summary We are seeking a highly organized, detail-oriented, and proactive Assistant Demand Planner to support the KAYALI Americas team. While this role will occasionally assist with demand planning and S&OP-related tasks as a backup, most responsibilities will focus on administrative coordination, reporting, and cross-functional communication, management of the demand planning tool to ensure smooth day-to-day operations.
Essential Duties And Responsibilities Administrative & Coordination Support (Primary Focus)
Manage and update weekly sales and inventory reports for internal and retailer performance tracking
Collect, consolidate, and maintain data files for forecasting, ordering, and sales analysis
Coordinate with Sales, Planning, Logistics, and Retailer teams to ensure timely information flow and report accuracy
Prepare and distribute regular updates on out-of-stock SKUs, replenishment ETAs, and order statuses
Track retailer forecasts, submissions, and outstanding data against launch and reporting deadlines
Maintain and refresh recurring reporting files (e.g., retailer RTV report, in-stock reports, Bi-Weekly Sell-in Estimate prep)
Review and track ad-hoc inventory requests (transfers, gratis, marketing allocations, etc.)
Provide administrative support for product launches, including pricing validation, DC availability checks, and data uploads
Assist with purchase order tracking and warehouse coordination to ensure stock availability
Demand Planning & S&OP Support (Occasional / Backup)
Support monthly consolidation of retailer sales reports for S&OP update preparation
Contribute to forecast accuracy reviews and performance tracking when required
Assist in reconciling data discrepancies between systems, reports, or markets
Provide backup coverage for Demand Planner during busy cycles or leave periods
Weekly Sephora in-stock reporting update
Collaborate w/ Customer Service to provide weekly order shortage reports to the organization
Tracking retailer forecasts submitted/outstanding against deadlines for launches
Support teams in inventory management and receipt, to ensure availability and allocation for launches
Monthly refresh of retailer RTV report
Requirements
1-2 years of experience in planning, forecasting, merchandising, or administrative coordination (beauty industry preferred)
Bachelor's degree in business, Supply Chain, Economics, or a related field
Advanced Excel skills (pivot tables, VLOOKUP, formulas, data cleaning); experience with SAP, JDA, or MS Dynamics a plus
Excellent organizational and time-management skills, with strong attention to detail
Comfortable managing recurring reports and administrative processes with minimal supervision
Strong communication and interpersonal skills; able to liaise effectively across multiple teams
Flexible and adaptable in a fast-paced, dynamic environment
Willingness to support early morning or evening calls with international markets when required
Passion for beauty, cosmetics, or fragrance is highly desirable
