Job Summary We are seeking an experienced and polished Administrative Assistant to provide high‑level administrative support to senior leadership within our corporate headquarters. The ideal candidate will bring 5‑7 years of experience supporting leaders, strong executive presence, and exceptional communication, organizational, and follow‑through skills. This role requires a proactive and resourceful professional who thrives in a dynamic, fast‑paced environment and demonstrates discretion, judgment, and responsiveness necessary to support senior leaders in a global medical device organization.
Key responsibilities include partnering cross‑functionally and assisting other executives and team members to ensure smooth and efficient operations.
Key Responsibilities
Serve as the primary point of contact for the assigned executives, managing day‑to‑day communications, priorities, and requests with professionalism and confidentiality.
Manage complex calendars and meeting logistics, ensuring alignment with strategic priorities and minimal scheduling conflicts.
Prepare, edit, and proofread executive‑level correspondence, presentations, and reports with accuracy and polish.
Coordinate domestic and international travel arrangements, expense reports, and related logistics.
Organize and support leadership meetings, including preparing agendas, collecting materials, recording key actions, and ensuring follow‑through.
Track deliverables and deadlines to ensure timely completion of commitments and communications.
Build and maintain strong working relationships across departments and with external partners, demonstrating professionalism and strong interpersonal judgment.
Provide backup and collaborative support to other executives and administrative team members as needed, fostering a culture of teamwork and service excellence.
Handle confidential information with the utmost discretion and integrity.
Participate in planning and coordination of corporate events, town halls, or special projects as required.
Minimum Basic Qualifications
Bachelor’s degree or equivalent experience preferred.
5+ years of experience supporting senior executives in a corporate, medical device, or related highly regulated industry.
Demonstrated executive presence with the ability to represent the executive office with professionalism and composure.
Exceptional written and verbal communication skills; proven ability to draft high‑quality correspondence and business communications.
Strong organizational, project management, and time‑management skills with meticulous attention to detail.
Proven track record of follow‑through and accountability in a fast‑paced, changing environment.
Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and collaboration platforms (Teams, Zoom).
Ability and commitment to work onsite 4–5 days per week at the corporate headquarters.
High degree of integrity, discretion, and judgment when handling confidential or sensitive information.
Team‑oriented mindset with the flexibility to support additional executives and projects as needed.
