Senior Administrative Assistant – Danvers, MA Johnson & Johnson is seeking a Senior Administrative Assistant to support the VP of Quality and VP of Finance for Heart Recovery. The role focuses on high‑level administrative support, calendar management, travel coordination, meeting logistics, expense reporting, and cross‑functional collaboration.

Responsibilities

Provide administrative support to the VP of Quality and VP of Finance for Heart Recovery to enable effective prioritization and maintain consistent internal and external engagement.

Act as a role model for professionalism, courtesy, and excellent interpersonal communication on behalf of the Quality and Finance leaders.

Build and maintain complex and highly fluid calendar coordination for the leaders, working closely with cross‑functional business partners, with a keen and proactive sense of prioritization and time management to ensure maximum effectiveness and efficiency.

Arrange complex and detailed domestic and international travel plans, itineraries, and agendas; compile documents for travel‑related meetings.

Closely partner with colleagues across all levels of the organization to organize meetings—ranging in attendee size and subject matter, from 1:1s to town halls—and provide necessary logistical support, including technology, meals, room setup, and day‑of‑meeting point‑of‑contact support.

Prepare expense reports for assigned leaders in a detail‑oriented, timely, and compliant manner, in accordance with healthcare compliance requirements.

Coordinate Leadership Team meetings and other staff and leadership activities, as appropriate. Manage all materials, track action items, and follow up as needed.

Perform duties such as PO creation and submission, troubleshooting workplace facility/technology issues, physical and electronic file management, organizational chart and distribution list management, and ad‑hoc team management transactions in Workday.

Maintain professionalism, strict confidentiality, and discretion at all times while exercising independent judgment to solve complex problems.

Maintain strong working relationships with all stakeholders, including Heart Recovery’s cross‑functional administrative assistants, fostering an efficient and collaborative team environment across a globally dispersed team.

Qualifications

A minimum of a high school diploma is required; an associate’s or bachelor’s degree is preferred.

A minimum of 5 years of administrative experience is required.

Excellent verbal and written communication skills, including the ability to draft and edit correspondence and prepare information for executive review, are required.

This position requires exemplary customer service skills, the ability to handle multiple tasks and priorities simultaneously, anticipate executive needs, and work independently with minimal supervision.

Must maintain confidentiality and operate consistently with poise, professionalism, and a sense of urgency in a complex and rapidly changing environment.

Must demonstrate excellent judgment and the ability to anticipate and solve problems proactively. Must be detail‑oriented, thorough, accurate, and well‑organized.

Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook), virtual meeting platforms (Zoom, Teams, Global Connect), and systems used for purchase orders and HR processes (e.g., Workday, Ariba/eMarketplace, IRIS) is required—or analogous systems for external candidates.

Experience in a global and matrixed team environment, interfacing with diverse people and situations while supporting executives and their teams, is required.

Experience managing complex international and domestic travel arrangements, coordinating onsite and off‑site meetings across multiple time zones, and managing complex calendars via Outlook is required.

Compensation Base pay range: $53,900 – $86,000.
