Executive Assistant to Chief Operating Officer, Healthcare Software Company, Rockland County, New York


Our client, a growing health care human resources software firm headquartered in Rockland County, New York, is seeking a high-caliber Executive Assistant to be the true “right hand” to the Chief Operating Officer (COO). This is an exciting opportunity for a resourceful and tech-savvy professional who thrives in a fast-paced environment and wants to play a key role in keeping the COO on task and organized. This is an in-person position, 5 days in the office located in Montebello.

About the Job:

  • Provide seamless administrative support to the COO, including complex and ever-changing calendar management, prioritizing internal and external meetings.
  • Monitor and manage the COO’s inbox, flagging time-sensitive matters and drafting correspondence when needed.
  • Coordinate travel arrangements, including detailed itineraries and logistics.
  • Liaise across departments and with external partners to ensure timely follow-ups and workflow execution.
  • Prepare materials and do the necessary research for presentations and meetings.
  • Track tasks and deliverables, helping the COO stay ahead of key projects and deadlines.
  • Assist with event coordination, team meetings and offsites
  • Process expense reports
  • Ad hoc projects

About You:

  • At least 5 years of experience supporting a senior executive, ideally in a start-up type environment in the tech space.
  • Bachelor’s Degree
  • Exceptional organizational and time management skills; thrives on anticipating needs and solving problems proactively.
  • Strong communication and interpersonal skills with the ability to work well across teams and represent the COO externally.
  • Comfortable in a high-growth environment where priorities can shift rapidly.
  • Highly proficient in Microsoft Office Suite and collaboration tools (e.g., Slack, Google Workspace, Zoom).
  • Warm engaging personality with a team -oriented mentality.
