Overview
The Commercial Real Estate Operations (CREO) team and the Polsky Center for Entrepreneurship and Innovation are co-located in Harper Court, 5235 S Harper Court. The Polsky Center advances innovative ideas and technologies from the University of Chicago ecosystem to the world, supporting education, resources, programs, and venture growth. The CREO Department provides a wide range of real estate services within the Office of Civic Engagement, reporting to the Finance and Administration Division, including asset acquisition, asset disposition, development, asset management, lease negotiation, lease administration, and construction.
The CREO & Polsky Center are seeking an Executive Assistant who will provide a wide range of administrative and executive support. Responsibilities include managing executive and team calendars, coordinating travel, preparing reports, supporting select events, and assisting with special projects as needed. The Executive Assistant will report to the Associate Vice President of Commercial Real Estate and to the Managing Director and Associate Vice President of the Polsky Center for Entrepreneurship and Innovation.
Compensation: The compensation range for this position is $70,000.00 - $95,000.00 (depends on experience and skills).
Principal duties and responsibilities
- Manage executive and team calendars and schedules, including arranging appointments, meetings, and travel for executives and executives direct reports.
- Handle department administrative tasks such as managing expense reports, ordering supplies, renewing equipment licenses, and processing department vendor invoices.
- Coordinate and plan events and meetings.
- Triages emails and telephone calls for action; resolve mostly routine and some complex inquiries.
- Coordinate special projects as directed, including conducting research, preparing write-ups for recommendations, and implementing solutions for operational and administrative challenges and opportunities.
- Support select events for CREO and Polsky leadership as needed to supplement event management staff.
- Coordinate aggregation of leadership team reports or presentations on a recurring basis (e.g., monthly All Hands, quarterly leadership reports).
Knowledge, skills and experience
- A college or university degree in a related field is required.
- A minimum of seven years of experience required; five or more years as an assistant to senior management is preferred.
- Demonstrated proficiency with MS Office (Word, Excel, PowerPoint, Outlook) required.
- Strong organizational, time management, and prioritization skills required.
- Strong communication skills, customer service-oriented approach, and ability to work independently and collaboratively required.
- Adaptability to changing priorities and deadlines; ability to handle multiple tasks simultaneously required.
- Attention to detail and discretion with confidential information required.
- Familiarity with the University of Chicago or other higher education institutions preferred.
- Interest in entrepreneurship and/or property management preferred.
