Job Description

Our client is a renowned K-9 independent boys school that is deeply committed to academic excellence, character development, and joyful learning and looking for an Executive Assistant to the Head of School. This role plays a pivotal role in supporting the Head, Board of Trustees, and broader school community. This is a high-trust position requiring exceptional organization, communication, and interpersonal skills. The role is full-time, 12 months per year, and offers competitive salary, generous vacation time, and excellent benefits.

Responsibilities

  • Manage the Head of Schools schedule, travel, priorities, and daily operations, ensuring alignment with institutional goals
  • Serve as a responsive liaison to faculty, staff, students, parents, alumni, trustees, and external partners
  • Maintain confidentiality while exercising excellent discretion, professionalism, and judgment
  • Collaborate closely with internal departments
  • Schedule and organize Board of Trustees and committee meetings, prepare materials, and record and maintain minutes and documentation
  • Handle all travel arrangements, conference registration, meal reservations, and expense reporting for the Head of School
  • Supervise the front office team, including two direct reports
  • Support or coordinate major school events
  • Maintain student records in partnership with the registrar
  • Assist with internal coverage needs, stepping in when needed
  • Actively participate in daily school life and contribute wherever support is needed

Qualifications
  • At least 5 years of executive assistant experience, not necessarily in an independent school (though school experience is appealing)
  • Bachelors degree and a commitment to a lifetime of learning
  • Superior written and oral communication skills, with advanced editing and proofreading skills
  • Meticulous attention to detail, excellent organizational skills, and reliable follow-through
  • Ability to anticipate others needs and manage up as neededAdvanced proficiency (and / or determination to develop such proficiency) with relevant technology tools, including Google Workspace, Microsoft Office, databases (e.g., Blackbaud), and project management software (e.g., Asana)
