POSITION TITLE: Building/Department/Grade Level Secretary

REPORTS TO: School Principal or Associate Principal

POSITION SUMMARY: Performs a wide variety of secretarial, clerical, and administrative duties, responding to the needs and requests of students, parents, and school personnel. Secretary positions can be either 10.5, 11, or 12 month jobs.

FUNCTIONS OF THE JOB

Essential Functions

  1. Performs major clerical functions including typing correspondences and required reports, screening incoming phone calls, greeting visitors, and arranging meetings.
  2. Responds to inquiries and provides information and assistance to students, parents, teachers, or staff as needed.
  3. Gathers and tracks information necessary for preparing and submitting reports; performs data entry as required.
  4. Handles financial tasks such as preparing budgets, payroll, billing, collections, disbursements, and maintaining financial records.
  5. Develops and maintains schedules; coordinates arrangements and supports special events.
  6. Initiates purchase orders for supplies or equipment.
  7. Performs other duties as assigned.

Marginal Functions

  1. Assists other administrators or leaders during staff absences or with special projects.

Physical/Visual Activities or Demands: Activities such as sitting, walking, standing, talking, hearing, stooping, or crouching to access files. Requires normal mental attention and visual clarity at 20 inches or less and 20 feet or more. Nominal physical effort, including moving light items or boxes with assistance.

Environmental/Atmospheric Conditions: Normal office conditions.

POSITION QUALIFICATION REQUIREMENTS

Knowledge: Knowledge of secretarial practices, accounting, office procedures, and operation of office equipment and software, requiring high school plus additional training.

Experience: Over 1 year up to 5 years.

Qualified candidates will have:

  • Outstanding math and organizational skills
  • Excellent interpersonal and communication skills
  • Proficiency in Microsoft Word, Excel, and PowerPoint
  • High School Diploma or equivalent

Machines, Tools, Equipment, and Work Aids: Personal computer, multi-line phones, copier, scanner, fax machine.

License(s)/Certification(s) Required: None.
