Position Summary
IronCraft is seeking a highly organized, discreet, and proactive Executive Assistant (EA) to provide comprehensive administrative and operational support to the CEO and Human Resources function. This individual will play a key role in managing priorities, coordinating communications, and ensuring smooth execution of both executive and HR initiatives.
This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining confidentiality. The EA will be a trusted partner who ensures smooth day-to-day operations and helps our leaders stay focused on driving strategic growth.
Key Responsibilities
Executive Support
- Manage complex calendars, including scheduling meetings, coordinating travel, and anticipating conflicts across multiple executives.
- Prepare and organize materials for leadership meetings, board meetings, and strategic off-sites.
- Handle correspondence, draft communications, and ensure timely follow-up on action items.
- Support executives in maintaining focus on strategic priorities by managing time, information flow, and deliverables.
Human Resources Support
- Assist the Director of HR with recruiting, candidate management, scheduling interviews, onboarding coordination, and employee communications.
- Provide HRIS support, including data entry, reporting, and system maintenance within platforms such as Paycor, ADP, etc.
- Data collection and analysis: Compile and analyze data for reports on key HR metrics such as headcount, turnover, hiring trends, and performance review completion.
- Process improvement: Identify and suggest ways to improve or streamline HR administrative processes from onboarding to performance management to enhance efficiency and employee experience.
- Support HR initiatives such as employee engagement events, leadership development programs, and company-wide communications.
- Coordinate logistics for HR-led meetings, training sessions, and special projects.
Operational Excellence
- Develop and maintain systems for tracking executive priorities, deadlines, and commitments.
- Assist with expense reports, vendor coordination, and administrative processes.
- Provide event planning and logistics support for leadership retreats, town halls, and corporate functions.
- Support special projects and initiatives at the direction of the Director of HR or CEO.
Confidentiality & Professionalism
- Handle sensitive information with discretion and the highest level of professionalism.
- Represent the executives in interactions with employees, customers, and partners with tact and diplomacy.
Qualifications
- 5+ years of experience as an Executive Assistant and/or HR leadership, ideally in a multi-site manufacturing environment.
- Experience with HRIS platforms such as Paycor, ADP, or similar systems, including reporting and data management.
- Exceptional organizational, prioritization, and follow-through skills.
- Strong analytical skills with the ability to compile, interpret, and present HR data and metrics.
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration platforms such as Teams and Zoom.
- Strong written and verbal communication skills with the ability to compose professional correspondence and presentations.
- High integrity and professionalism, with proven ability to maintain confidentiality and discretion.
- Adaptability and composure in managing multiple priorities in a fast-moving environment.
