Were looking for an Executive Assistant. This role is the administrative engine behind the sceneskeeping operations on track, communication flowing, and priorities in focus. Youll work directly with the firms owner, taking ownership of day-to-day logistics, supporting high-level planning, and ensuring no detail is overlooked. What youll do
- Calendar & Travel Management: Own the firm owners calendaroptimize, protect, and update it with foresight. Coordinate internal and external meetings, appointments, and engagements. Arrange all travel, including flights, hotels, transportation, and itineraries, ensuring alignment with the firm owners priorities and preferences.
- Inbox & Communication Handling: Manage the firm owners inbox dailytriage emails, flag urgent items, and draft timely, professional responses when needed. Ensure that key messages and action items are never overlooked, and keep internal and external communication flowing smoothly.
- Meeting & Documentation Support: Attend key meetings with the firm owner, take accurate and professional notes, and promptly produce clear, actionable summaries. Draft internal memos, prepare briefing documents, and ensure all deliverables discussed are tracked and followed up on.
- Project, Task & Operational Oversight: Help the firm owner stay on-task by anticipating needs, managing priorities, and preventing bottlenecks. Maintain oversight of time-sensitive items like FOIA requests or Court of Appeals materials. Ensure smooth administrative operations without requiring micromanagement or constant reminders.
- Events & External Coordination: Plan and execute firm-hosted or attended events from end to end. Manage setup, logistics, and teardown so the firm owner can show up ready and walk away without worry. Coordinate invitations, supplies, venues, and any external communication needed to ensure seamless delivery.
What were looking for
- Experience: At least 3 years in executive support roles, ideally supporting a business owner, managing attorney, or senior leader. Legal industry experience is a plus, but not required.
- Technical Skills: Proficiency with tools like Google Workspace (Gmail, Calendar, Drive), Zoom, Dropbox, and other productivity platforms. Strong typing, formatting, and document organization skills expected.
- Proactivity & Follow-Through: Anticipates needs without being asked. Follows up consistently, tracks action items, and keeps things moving without reminders. Builds trust by taking initiative and delivering reliably.
- Communication Skills: Clear, timely, and professional communicatorboth written and verbal. Capable of drafting memos, summarizing meetings, and handling correspondence independently.
- Organizational Strength: Manages calendars, tasks, deadlines, and documents with precision. Keeps the firm owner on track and prevents details from slipping through the cracks.
- Professionalism & Discretion: Shows up prepared, polished, and represents the firm with care. Maintains absolute confidentiality when handling sensitive legal, client, and internal communications.
- Resilience: Can work with a strong personality and handle direct communication without taking it personally. Stays focused and composed under pressure.
