Overview
The Division of Enrollment Management at Rutgers University–Newark is dedicated to attracting, admitting, and supporting students throughout their academic journey. The division includes several key areas: One Stop Student Services (which integrates the Office of Financial Aid and the Registrar’s Office), the Office of Graduate and Undergraduate Admissions, and the Center for Pre-College Programs. This Administrative Assistant position will be housed within the Office of Graduate and Undergraduate Admissions, which partners closely with the academic schools and colleges at Rutgers University–Newark to recruit and enroll new graduate and undergraduate students.
Posting Summary
Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking an Administrative Assistant. Reporting to the Director of Campus Programs and Visitor Services, the Administrative Assistant provides administrative support and program coordination to the Office of Graduate and Undergraduate Admissions.
This position is responsible for and not limited to the following:
- Serves as the first point of contact for visitors to the Office of Graduate and Undergraduate Admissions
- Professionally manages high-volume welcome/reception and processing areas; schedules appointments, arranges and coordinates logistics for events and meetings
- Works in coordination with the Director and the Administrative Coordinator to provide work direction for the day-to-day operations of the Office of Graduate and Undergraduate Admissions
- Prioritizes tasks and manages the flow of traffic in the welcome/reception and processing areas, handling regular walk-in traffic as well as scheduled appointments/visitors to the office
- Manages other duties as assigned throughout the year, demonstrating the capability to learn new information, understand it, and use that information to be effective in the position
- Communicates effectively with all colleagues through regular and planned communication and/or meetings so that information and updates are passed accurately and timely to those who require it
- Maintains an organized, neat, clean, and confidential area that is visually pleasing and welcoming to visitors due to the visibility of the position

Qualifications
Minimum Education and Experience
- Requires a bachelor’s degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, and report writing
Required Knowledge, Skills, and Abilities
- Requires good communication skills and computer literacy
- Position requires passion for customer service and providing an exceptional degree of responsiveness
- Must be able to manage multiple tasks while handling interruptions
Preferred Qualifications
- Uses multiple Microsoft Office platforms – WORD (for standard word processing), PowerPoint (for presentations), and Excel (for report production)
- Knowledge of the Admissions systems, including, but not limited to, IMS, ImageNow, Salesforce, Perceptive Content, Graduate Portal, and the Enrollment System
