Position Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our executive leadership. This individual will play a critical role in managing schedules, communications, and administrative tasks, enabling the executive(s) to focus on strategic priorities. The ideal candidate is a self-starter with excellent judgment, discretion, and professionalism.

Key Roles / Responsibilities

  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements
  • Serve as a gatekeeper and primary point of contact for internal and external communications
  • Prepare reports, presentations, and correspondence on behalf of the executive
  • Organize and coordinate executive meetings, including agendas, logistics, minutes, and follow-ups
  • Handle confidential information with integrity and discretion
  • Assist with special projects, research, and event planning as needed
  • Monitor and prioritize emails, calls, and other communications
  • Maintain organized filing systems (digital and physical)
  • Track and process expense reports, invoices, and other financial documentation
  • Liaise with internal departments and external stakeholders on behalf of the executive

Required Education, Experience, And Qualifications

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role
  • Exceptional organizational and time-management skills
  • Excellent written and verbal communication abilities
  • High level of discretion, professionalism, and reliability
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar tools (e.g., Google Calendar)
  • Ability to multitask and adapt in a fast-paced environment
  • Strong problem-solving skills and attention to detail
  • Bachelor’s degree preferred, but not required

Working Conditions

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Positions self to install equipment, including under desks.
  • Moves throughout the building to access files.
  • Must be able to comprehend and follow written and oral instructions.
  • Must be able to complete tasks even with frequent interruptions.
  • Must be able to use discretion and independent judgment as needed.
  • Must be able to speak clearly on the phone and to fellow workers.
