Executive Assistant

Scion Staffing is engaged to conduct a search for an Executive Assistant on behalf of a respected mission‑driven financial institution located in Hawthorne, CA. This full‑time, on‑site position supports executive leadership within an organization dedicated to enhancing financial well‑being of its members.

POSITION OVERVIEW

As a key member of the executive support team, you will provide direct administrative and operational assistance to the President & CEO and Executive Leadership Team. Your role will facilitate effective communication across departments, the Board of Directors, and senior management. You will thrive in a fast‑paced environment demanding accountability, professionalism, and integrity.

RESPONSIBILITIES

  • Provide high‑level administrative support to the President & CEO and Executive Leadership Team
  • Prepare and manage reports, presentations, correspondence, and meeting documentation
  • Coordinate Board of Directors communications, including minutes, agendas, and follow‑up items
  • Organize calendars, travel arrangements, and executive schedules to ensure seamless operations
  • Safeguard confidential records and maintain compliance with internal standards and regulations
  • Serve as liaison between executives, management, and external stakeholders

QUALIFICATIONS

  • 4+ years of administrative experience supporting senior leadership or executives
  • Experience supporting multiple executives
  • Proficiency in processing expenses & report generation
  • Experience with meeting minutes
  • Strong written and verbal communication skills with exceptional attention to detail
  • Business education preferred, with proven understanding of professional office operations
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook)
  • Highly organized, detail‑oriented, skilled in multitasking and prioritizing projects
  • Strong analytical and problem‑solving abilities with sound decision‑making skills
  • Public relations or customer‑facing experience preferred
  • Typing speed of 45+ WPM with accuracy
  • Flexible, self‑motivated, able to adapt to evolving priorities
  • Maintains a high degree of confidentiality and discretion
  • Committed to providing exceptional service and acting as a positive role model
  • Demonstrates outstanding internal and external customer service
  • Must travel as needed for meetings and organizational events
