Position Overview

We are seeking a highly organized, resourceful, and proactive Executive Assistant to provide comprehensive administrative support to a team of senior executives in a dynamic, fast-paced environment. This individual will serve as the central point of coordination across calendars, meetings, travel, and executive priorities—ensuring the right things happen at the right time, seamlessly.

This role will additionally serve as backup to the Office Manager, including front desk and reception duties, during periods of reprieve or time off.

Key Responsibilities:

  • Provide administrative support to 3–5 executives, ensuring smooth daily operations and alignment of priorities.
  • Provide overflow support for the CEO and Chief of Staff as needed.
  • Manage complex and dynamic calendars, coordinating meetings, appointments, and travel arrangements with accuracy and discretion.
  • Serve as a liaison between executives, internal teams, and external partners, ensuring timely communication and follow-up.
  • Coordinate domestic and international travel, including flight and hotel bookings, itineraries, and expense reporting.
  • Prepare meeting materials, agendas, presentations, and correspondence with professionalism and attention to detail.
  • Anticipate scheduling conflicts and proactively resolve them, maintaining alignment across executive priorities.
  • Support planning and execution of company events, team off-sites, investor meetings, and internal gatherings.
  • Track deliverables and deadlines to ensure commitments are met and projects remain on course.
  • Uphold strict confidentiality and handle sensitive information with integrity and sound judgment.
  • Represent the organization with professionalism and discretion in all interactions.
  • Act as backup to the Office Manager, including front desk and reception duties, mail distribution, supply management, vendor coordination, and general office maintenance during absences or reprieve periods.

Qualifications:

  • Minimum 5+ years of executive administrative experience, ideally supporting multiple senior leaders.
  • Exceptional organizational skills with proven ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills with a polished, professional demeanor.
  • High level of proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and collaboration tools (Teams, Zoom, Slack, etc.).
  • Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
  • Grace under pressure—able to pivot quickly, prioritize effectively, and anticipate what’s next.
  • A proactive, solutions-oriented mindset with a reputation for reliability and follow-through.
  • Must be based in Dallas, TX, and available to work in the office Monday through Friday.
