Position Summary

Under supervision, the Senior Medical Secretary assists physicians with patient care, administrative, and organizational tasks related to patient flow and conveys a positive image of the physician’s practice.

Job Responsibilities

  • Responsible for front‑end revenue cycle processes, including check‑in/check‑out of patients and collection/reconciliation of time‑of‑service payments, and discusses patient responsibility for payments.
  • Ensures patients provide pre‑visit documentation, pre‑certifications, authorizations for medical services, and/or referrals as required.
  • Schedules, confirms, re‑schedules, and cancels appointments for new and existing patients using the scheduling application; monitors wait lists.
  • Assists coordination of follow‑up care, including scheduling laboratory/diagnostic tests and prescription requests.
  • Maintains physicians' administrative (research and academic) and clinical/surgical schedules.
  • Prepares charges and payments for submission to the billing office.
  • Identifies delinquent accounts for collection activities and reviews account status with the physician.
  • Assists with physicians' research activities, if applicable.
  • Assists in preparation of lectures and presentations.
  • Prepares travel arrangements for business purposes; prepares travel schedule and presentation documents for conferences and lectures.
  • Updates physicians' CV and credentialing documentation as needed.
  • Initiates and prepares written correspondence as needed and based on functional needs.
  • May be responsible for chaperone duties during patient exams as needed.

Education

  • High School Diploma

Experience

Approximately 2 or more years of prior related experience.

Knowledge, Skills and Abilities

  • Previous experience using computerized appointment scheduling systems (EPIC preferred) and/or electronic medical record systems (ideally EPIC‑Care).
  • Knowledge of CPT, ICD‑9, and ICD‑10 coding.
  • Working knowledge of third‑party payer reimbursement – Medicare, Medicaid, managed care, and commercial insurance.

None required.
