Executive Assistant to CEO & CMO
Base pay range: $130,000.00/yr - $160,000.00/yr
About the Role Our client, a dynamic and fast-growing organization, is seeking a seasoned Executive Assistant to provide high-level administrative and strategic support to the CEO and CMO. This role is ideal for an experienced professional who thrives in a fast-paced, high-expectation environment, managing multiple priorities while maintaining exceptional attention to detail and discretion.
The Executive Assistant will serve as a trusted partner and key liaison, ensuring that leadership can focus on strategic priorities while day-to-day operations, communications, and logistics run seamlessly.
Key Responsibilities
Calendar Management: Proactively manage complex and ever-changing calendars for the CEO and CMO, balancing internal and external priorities with precision.
Travel Coordination: Plan and execute detailed domestic and international travel itineraries, including flights, accommodations, and meeting logistics.
Meeting & Event Planning: Schedule, organize, and support meetings, board sessions, offsites, and client events — including preparing agendas, materials, and follow‑up action items.
Executive Communication: Serve as the main point of contact between executives and internal/external stakeholders; draft and proofread high‑level correspondence, presentations, and reports.
Operational Support: Handle expense reports, reconcile budgets, and process invoices accurately and on time.
Confidential Administration: Maintain confidential files, HR‑related information, and sensitive business materials with utmost discretion.
Project Management: Track and drive key initiatives, ensuring deadlines are met and progress is communicated to leadership.
Process Improvement: Identify opportunities to streamline administrative systems and increase efficiency across the executive office.
Relationship Management: Build strong, professional relationships with board members, investors, clients, and staff at all levels.
Anticipatory Support: Stay several steps ahead — anticipating needs, resolving issues before they arise, and enabling executives to work at peak productivity.
Qualifications
7+ years of experience supporting C-level executives in a fast-paced, dynamic environment.
Proven ability to handle confidential information with integrity and professionalism.
Exceptional organizational, problem‑solving, and time‑management skills.
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with tools such as Zoom, Slack, or Google Workspace.
Excellent written and verbal communication skills, with meticulous attention to detail.
Strong judgment, composure, and adaptability under pressure.
Ability to manage multiple priorities and deadlines simultaneously.
Bachelor's degree preferred, or equivalent combination of education and experience.
