The Administrative Assistant provides essential clerical and organizational support to the president of a busy personal injury lawfirm. This role assists management and staff with daily administrative tasks, coordinates communications, maintains records, and helps keep business activities running smoothly.
Key Responsibilities
Office Administration
Manage and maintain schedules, appointments, and meetings.
Answer and direct phone calls and handle inquiries professionally.
Prepare, edit, and proofread correspondence, reports, and presentations.
Organize and maintain paper and electronic filing systems.
Handle incoming and outgoing mail, deliveries, and emails.
Clerical & Operational Support
Assist in data entry, document management, and record keeping.
Order and maintain office supplies and equipment.
Support company projects and team activities as assigned.
Help coordinate travel arrangements and meeting logistics.
Maintain confidentiality with sensitive company and client information.
Administrative Management
Prioritize and manage multiple projects and deadlines.
Track tasks, follow up on commitments, and ensure timely completion of projects delegated by the President.
Assist with preparation of firm performance reports and business analytics.
Communication & Coordination
Serve as a point of contact between internal departments and external clients or vendors.
Ensure smooth information flow within the office.
Assist in preparing reports, spreadsheets, and presentations for management.
Qualifications
Education:
High school diploma required; Associate’s or Bachelor’s degree preferred.
Experience:
3-5+ years of administrative or office support experience required.
Skills:
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency in Google Suites or Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Familiarity with office management software or systems.
