Senior Analyst - Contract & Grant Administration This position supports principal investigators (PIs) with pre- and post-award administration of contracts and grants. Under the general direction of the Financial Operations Manager, the incumbent will provide leadership and high-level technical support for the proposal submission process and post-award fund administration. This includes developing a broad foundation of sponsor and university policies, working with a variety of federal and some non-federal sponsors (including NSF, NASA, and the Department of Energy), and managing proposals and awards of diverse scope. Responsibilities include analyzing data, understanding complex regulations, and guiding PIs in the management of their funds. Proposals and awards may involve multi-collaborative and multi-institutional stakeholders and require effective communication among campus departments to ensure timely submission of reports, payroll requests, and grant proposals.

The Department of Physics & Astronomy supports 45 faculty and includes 203 non-senate academics, postdocs, graduate students, and administrative staff; $20.8 million in expenditures per year and $10M in extramural funding administered across 148 fund sources. The full salary range for the Contract & Grant Analyst 3 is $66,500 - $118,300 annually. However, the expected pay scale for this position is up to $85,000 annually. Salary offers are based on education, licensure and certifications, experience, and other business and organizational needs.

As a University employee, you will be required to comply with all applicable University policies and/or collective bargaining agreements, as amended from time to time. Federal, state, or local directives may impose additional requirements. The classification title and salary range for this position are currently under review. On September 15, 2025, UC recognized UAW as the exclusive representative of this job code under the newly created bargaining unit Research and Public Service Professionals (RPSP).

Responsibilities

Assist PIs with pre- and post-award administration of contracts and grants.

Provide leadership and high-level technical support for proposal submissions and post-award fund administration.

Develop a broad foundation of sponsor and university policies and ensure compliance with complex regulations.

Coordinate with federal and non-federal sponsors (e.g., NSF, NASA, DOE) and manage multi-institutional proposals and awards.

Analyze data and advise PIs on fund management, reporting, payroll requests, and grant proposals.

Communicate effectively with various campus departments to ensure timely submission of reports and related tasks.

Qualifications

Current work authorization to accept a University staff position.

Experience in pre- and post-award administration of contracts and grants (preferred).

Ability to understand and apply sponsor and university policies and regulations.

Strong communication skills and ability to coordinate with multiple stakeholders.

Willingness to comply with University policies and applicable bargaining agreements.
