Job Summary: The
Design Services Sample Administrator
provides key administrative support for
product submittals, sample requests, and shipping coordination
within the design services team. This role ensures timely and accurate preparation of materials, coordination of product samples, and efficient handling of administrative and inventory tasks. The ideal candidate demonstrates strong
organizational and time management skills , attention to detail, and professionalism in a fast-paced, team-oriented environment.
Key Responsibilities:
Perform
administrative tasks
related to submittals and product requests.
Print, compile, and bind hard copy documents for project requests.
Prepare and ship product samples , including packaging, labeling, and creating UPS shipping labels.
Email tracking information to requestors and maintain accurate shipping documentation.
Manage and organize
product inventory
and general office supplies in the production room.
Perform light lifting (under 25 lbs.) and shelf stocking as needed.
Dispose of outdated materials and ensure the production area is neat and organized.
Conduct
data entry
for opportunities in Salesforce and manage digital folders on Google Drive.
Maintain team documents and assist with light administrative reporting.
Support other design services functions as required.
Required Experience:
Previous
administrative or office support
experience.
Experience handling
shipping and inventory coordination .
Proven ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Nice-to-Have Experience:
Experience with
UPS shipping systems
or similar logistics platforms.
Familiarity with
Salesforce
and
Google Workspace
tools.
Background in manufacturing, design, or product fulfillment roles.
Required Skills:
Strong
organizational and time management
abilities.
Attention to detail and accuracy in administrative tasks.
Proficient in
Microsoft Word ,
Google Suite Apps , and spreadsheets.
Excellent communication and problem-solving skills.
Ability to work independently while maintaining professionalism.
Preferred Skills:
Knowledge of office equipment (printers, copiers, labeling machines).
Strong typing and documentation accuracy.
Positive attitude, flexibility, and adaptability in changing priorities.
Additional Skills:
Ability to manage product samples and shipping logistics effectively.
Reliable, dependable, and proactive in communication with team members.
