Primary Function:
As a member of the sales / project development team, the Proposal Coordinator will assist in the coordination of RFP responses for the bid process, planning, developing, and delivering compliant responses to all RFIs/RFQs/RFPs, statements of qualification (SOQs), and client presentations to help win new business. Day-to-day assignments may be more specialized, but knowledge of all tasks indicated is expected. The Proposal Coordinator should be able to work independently with minimal supervision and serve as a resource for the processes and standards in the department.
Duties & Responsibilities
Learn and apply corporate standard sales / proposal processes and procedures.
Review solicitations to extract requirements and evaluation criteria.
Coordinate end-to-end proposal development, including schedules, contracts, pricing/estimating, action items, and deadlines. Manage inputs from estimating, engineering, project management, legal, and executives to assemble technical and commercial narratives.
Work closely with estimating and project staff to organize and manage layout, design, and delivery of RFP/RFQ responses.
Draft, edit, and proofread content for clarity, accuracy, and consistency, including engineering bills of materials, pricing request forms, project schedules, and comments and clarifications.
Creating proposal templates using Outlook, Word, and Excel, or other pertinent software.
Build and maintain resumes, project sheets / case studies, reference lists, org charts, and other proposal templates in a searchable content library; tailor materials to each opportunity.
Developing, writing, editing, and proofreading content including engineering bills of materials, pricing request forms, and bills of material reference documents.
Comply with Dashiell standards to present a consistent appearance for all responses.
Manage multiple proposal efforts simultaneously within diverse markets and service offerings.
Ensuring that customer contact information and RFQ/RFP files are maintained and up to date.
Support proposal presentations: content, build decks, prepare speaker notes, etc.
Maintain accurate opportunity data, next actions, and win/loss metrics; generate pipeline and performance reports as requested.
Maintain secure, well organized electronic files for all jobs.
Contribute to continuous improvement and share best practices / lessons learned with peers.
Other duties as required.
Minimum Qualifications / Experience A High School Diploma, or equivalent, is required. Associate or bachelor’s degree in marketing, business, communications, technical writing, engineering, or a related field is preferred. A minimum of two years of experience in a proposals, marketing, or sales operations role is preferred, but other experience will be considered. Experience in EPC, industrial, or energy markets is a plus.
Skills
Aptitude for managing multiple, concurrent proposals in a fast-paced, deadline-driven environment.
Ability to interpret RFP/RFQ instructions and evaluation criteria; develop compliance matrices and schedules.
Strong writing, editing, and proofreading skills with excellent grammar, spelling, and punctuation.
Proficiency with MS Office (Word: styles/sections/TOC; PowerPoint; Excel) and Adobe Acrobat (PDF assembly/bookmarking). Experience with Adobe InDesign/Illustrator and RFP tools (e.g., RFPIO, Loopio, Qvidian) is a plus.
Good organizational skills, including development of work plans, version control, and the ability to multitask effectively.
Strong interpersonal skills with the ability to collaborate and communicate at all levels of the organization and with external partners.
Ability to identify problems, propose solutions, and drive issues to resolution under tight deadlines.
Familiarity with CRM platforms (e.g., Salesforce, HubSpot) is beneficial.
Willingness to work flexible hours during peak deadlines; limited travel ( Physical Requirements
This position requires minimal physical effort.
Must be able to endure prolonged periods sitting at a desk and working on a computer for a minimum of 8 hours a day.
While performing the duties of this job, the employee will primarily work indoors, with occasional outdoor exposure to year around weather conditions and noise.
Must be able and willing to travel overnight for trainings and/or meetings as required (10%).
Working extended hours, including weekends, may be required periodically.
May occasionally lift up to 25 pounds at a time.
