Overview

Events Coordinator role at Holland & Hart LLP. The position supports the planning, logistics, and execution of the firm’s events, including client programs, conferences, sponsorships, and internal retreats and initiatives. Works with the Event Manager to ensure events are delivered professionally, on-brand, and aligned with strategic objectives. Responsibilities

Collaborate with the Event Manager to plan and deliver in-person, virtual, and hybrid events (client receptions, conferences, sponsorship events, retreats) in line with firm priorities and brand standards. Coordinate logistics such as venue research and booking, catering, audio/visual and technology setup, guest lists, registration, event materials, and on-site support. Utilize Cvent and other event technology platforms to manage requests, develop event apps, and coordinate communications and content for a seamless experience. Partner with Communications and Creative teams to prepare event materials (invitations, signage, name badges) ensuring brand consistency. Manage invitations distribution, RSVP tracking, and accurate event data within Cvent and CRM systems. Maintain organized event files and project timelines to track details, provide status updates, and ensure clear communication. Support post-event processes (feedback, budget reconciliation, recaps, and follow-up with attorneys and marketing). Track event metrics and identify opportunities to improve efficiency and attendee engagement. Provide proactive communication and operational support to the Event Manager to ensure consistent execution and successful outcomes. Demonstrate accountability with timely updates, clear communication, and ownership from start to finish. Research venues, vendors, and emerging trends to provide detailed, creative recommendations for planning decisions. Branded Giveaways and Gifting

Oversee selection, ordering, and distribution of branded giveaways and client gifts, with inventory control and tracking. Research vendors and maintain relationships to ensure high-quality, brand-aligned products. Develop and manage processes for gifting requests across the firm, ensuring consistency and timely delivery. Track inventory and budgets related to promotional items and gifting; ensure invoices are processed accurately and on time. Operational Support and Collaboration

Track event budgets, expenses, and vendor invoices; assist with budget monitoring and reconciliation. Maintain the events calendar and ensure accurate reporting of event details in Cvent, CRM, and other databases. Compile post-event feedback and summarize outcomes to inform future planning. Partner with business development to ensure events and gifting align with client engagement goals. Execute responsibilities within established processes and approvals, aligning with event strategy and firm standards. Collaborate with external vendors to manage timelines, deliverables, and quality of execution. Coordinate shipping for events and branded giveaways with the firm’s office services team. Perform additional duties as assigned to support the firm’s objectives. Job Qualifications (Education, Experience and Certification)

Strong organizational and project management skills; ability to manage multiple priorities and deadlines in a fast-paced environment. Excellent written and verbal communication, with ability to interact professionally with attorneys, vendors, and colleagues. Produce error-free materials by thoroughly reviewing event documents and data for accuracy. Demonstrate initiative by anticipating needs and offering solutions aligned with event goals. Ability to compile and analyze event data (manifests, budgets, post-event results) to inform planning. Proficiency in Microsoft Office and event management platforms such as Cvent or similar tools. Collaborative team player contributing to process improvement and innovation within the Events Team. Qualifications

Note: The following are required and preferred qualifications. Required:

3-4 years of experience in event coordination or hospitality, preferably in a professional services environment; proven experience supporting large-scale events; proficiency in Microsoft Office; strong communication and client service skills; exemplary writing ability; strong organizational and time management skills. Preferred:

Bachelor’s degree in marketing, communications, business, hospitality management, or related field; experience managing branded giveaways; familiarity with CRM systems and AV coordination; experience using Cvent or similar software. Schedule

The position offers a hybrid schedule, generally in-office 2 days per week and remote 3 days per week. Additional in-office days may be required based on business needs. The hybrid arrangement may change at any time. Compensation

Colorado salary range is $26.15 to $43.58 per hour. A discretionary bonus may be available based on performance. Benefits details are described in the full job posting. Application Window
