Overview We are on a mission to entertain the planet. The Facilities Help Desk Coordinator is responsible for managing all aspects of the Real Estate and Facilities Help Desk, receiving and dispatching service calls.
Responsibilities
Respond to service requests generated by the employee population and log them via the Facilities CMMS (Computer Maintenance Management System). Service calls may be received directly into the CMMS via OKTA or communicated via Slack, email, or a dedicated Help Desk phone number.
Monitor tickets dispatched to Facilities personnel and in-house vendors in real time and track via the CMMS. Review tickets submitted by employees for proper categorization and assignments.
Coordinate with Facilities Supervisors to ensure unassigned tickets are properly dispatched.
Coordinate landlord services related to freight elevator reservations, after-hours HVAC services or impairments, as related to maintenance, construction activity, events, or after-hours activities (via the Landlord’s proprietary system).
Generate weekly and monthly CMMS reports tracking Facilities-related metrics and productivity; identify assigned work orders and tasks for Facilities Management.
Maintain and update Certificate of Insurance requirements for all vendors performing work in the building (and sites outside of 1515 Broadway if applicable).
Provide backup to issue purchase orders for Facilities-related services using the CMMS (e.g., general maintenance, cleaning services, plumbing, electrical).
Input for landlord communications, such as weekly weekend memoranda identifying off-hour services and verification of landlord sundry charges.
Work with Facilities Supervisors and Management to maintain preventive maintenance schedules via CMMS and other tracking methods.
Serve as a centralized resource for other Paramount sites using the CMMS, communicating Facilities guidelines, procedures, and processes as applicable.
Process in-house shoot forms for production personnel as required.
Access and adjust the Facilities Building Management System (BMS) to control HVAC systems as directed by Facilities personnel.
Collaborate with departmental team leaders, maintenance personnel, landlord personnel, studio production, and the events team to ensure smooth service delivery.
Knowledge and Skills Requirements
Ability to interface with various departments at different levels to solve issues using available resources.
Positive customer service background and administrative skills. Basic understanding of building operations. Comfortable with CMMS.
Ability to maintain Facilities records in the repository accessible to Facilities personnel and in-house vendors.
Excellent communication and people skills; serves as a formal point of contact for employees and guests to ensure a positive experience.
Ability to meet deadlines and manage workload with effective time management.
Clear verbal and written communication.
Initiative-taking and self-motivated with a willingness to learn.
Proficient follow-up skills.
Experience Required
Minimum of 2+ years’ experience in building operations or facilities management exposure in a corporate environment.
Understanding of basic building operations systems and customer service.
Experience with Facilities CMMS is a plus.
Education Required
Minimum high school diploma
Knowledge of basic computer skills such as Microsoft Office (Word, Excel, Outlook; PowerPoint is a plus) and Slack.

Salary Information
- Hiring Salary Range: $50,000.00 - 62,000.00. The range applies to specific geographies and factors including location, experience, and education. Benefits include medical, dental, vision, 401(k), life insurance, disability benefits, tuition assistance, and PTO as applicable by the relevant collective bargaining agreement.
