Position Overview
The Unit Secretary facilitates departmental functions by performing clerical duties related to patient care and department flow. Acts as the department facilitator; communicates with the general public, hospital departments, physicians and nursing personnel. This position does not directly supervise any other caregivers.
Essential Functions and Duties
- Serve as department receptionist; receive and transmit messages or inquiries to the appropriate destination.
- Input data using EMR, staffing and charge capture systems, electronic bedboard, charge entry and reconciliation.
- Perform general administrative duties (emails, filing, ordering supplies, etc.).
- Stock nurse servers in patient rooms and carts/areas as needed.
- Assist in maintenance of equipment; order departmental non-medical supplies as needed.
- Assist with scheduling and operational processes as directed by Supervisor/Manager.
- Setup/cancel patient appointments as directed; transport patients, blood, specimens and other items as needed.
- Answer call lights as needed.
- Support organizational goals through quality improvement and departmental activities; participate in professional growth and development.
- Communicate effectively with caregivers, medical staff, patients and guests; maintain professional relationships.
- Identify problems and implement solutions within scope of practice.
- Contribute to a healing environment and foster positive care experience.
- Support the organization’s vision, mission and values; participate in VIP/Lean continuous improvement ideas.
- Maintain a safe environment; adhere to laws, policies and procedures; uphold ethical standards and confidentiality.
- Deliver timely, efficient and accurate customer service and/or patient care.

Education
- Required: High school diploma or GED.
- Willingness to take additional courses as requested.

- Required: AHA Basic Life Support for Healthcare Provider certification.

Experience
- Required: Customer service and clerical experience.
- Preferred: Previous hospital experience/medical terminology.
Personal Protective Equipment
Must be able to wear appropriate PPE required to perform the job safely.
