The Front Desk Specialist is an integral part of the Administration support staff and is responsible for all aspects of administrative support and for providing general assistance to visitors and staff in the office.
Opportunity Details
- Complete a broad variety of administrative tasks for the CFO, CHRO, and other C‑level executives including answering telephones, scheduling conference calls, scheduling luncheons, managing an extremely active calendar of appointments to prioritize meeting requests/logistics, completing expense reports, composing and preparing correspondence that is sometimes confidential, arranging complex and detailed travel plans, creating itineraries and agendas, and compiling documents for committee meetings.
- Interact with clients, co‑workers, and the general public in a professional and effective manner.
- Coordinate day‑to‑day administrative activities, necessary office functions, and ensure that administrative support concerns are handled efficiently.
- Prepare and distribute memos, letters, faxes, reports, meeting minutes, and other documents as requested.
- Assist with overseeing that all office equipment is fully operational and keep office supply inventory stocked.
- Assist with special projects and any additional needs of all divisions of Administration.
- Provide coverage at reception desk, as needed.
- 5 days in office REQUIRED.
Qualifications
- Associate’s degree required; Bachelor’s degree preferred.
- Minimum of 5 years’ experience supporting an executive position.
- At least three years of strong experience supporting C‑level executives is required.
- Attention to detail. Ability to maintain high standards despite pressing deadlines.
- Excellent verbal and written communication skills.
- Strong initiative with a great sense of anticipation.
- Ability to work well under pressure, adapt to unexpected events, prioritize and multi‑task in a deadline‑driven environment.
- Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) required.
