JOB SUMMARY

Under the direction of the Manager of Administration, facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. Promotes a good cooperative image when dealing with members.

DUTIES AND RESPONSIBILITIES

Primary Duties:

  1. Answers and transfers phone calls, screening when necessary.
  2. Welcomes and directs visitors and guests.
  3. Maintains filing systems as assigned.
  4. Retrieves information as requested from records, emails, minutes, and other related documents; prepares written summaries of data when needed.
  5. Respond to and resolve administrative inquiries and questions.
  6. Coordinates and schedules travel, meetings, and appointments for managers, supervisors, and employees as directed.
  7. Maintains office supplies and coordinates maintenance of office equipment.
  8. Performs other related duties as assigned.

General Duties:

  1. Establishes and maintains an effective professional working relationship with co-workers and all necessary levels of management.
  2. Always maintain a professional image and standards of professional conduct while working in the public, representing the Cooperative, and/or conducting business on behalf of the Cooperative.
  3. Plans, schedules, and coordinates tasks, events, and activities with the Manager of Administration to ensure that all work is completed within the necessary allocated time.
  4. Develops, maintains, and executes a calendar and schedule of activities. Communicate and coordinate such activities with the Manager of Administration and all other necessary employees and/or necessary levels of management.
  5. Scans, indexes, and files all required records in a manner by which they can be easily retrieved upon request by management.
  6. Makes him/herself available to answer phone calls, and provide general assistance during power outages.
  7. Maintains a safe working environment.
  8. Protects and maintains member confidence by safeguarding member and employee information.
  9. Provides service to members and fellow employees by answering questions, offering assistance, and performing other duties as assigned.

WORK EXPERIENCE

A minimum of one year of experience in letter composition, preparation of reports, filing, Microsoft Office software, etc. is required. Experience in dealing with the public is desirable. An exceptional educational background may be considered for a portion of the experience requirements.

JOB KNOWLEDGE

Workable knowledge of data entry in computers for establishing and maintaining computer databases; knowledge of Human Resources preferable; written communication knowledge is very important. Must possess experience and demonstrate proficiency with Microsoft Office products such as Word, Excel, PowerPoint, and Outlook. Must understand and be able to demonstrate proficiency with excellence in public relations, effective member service, public speaking, presentation development, and delivery, word processing, data entry, and typing. Must demonstrate an understanding of basic management practices, and basic electrical theory and can conceptually understand the overall business model of the Cooperative and its systems and operations. Ability to work without supervision.

ABILITIES AND SKILLS

Must be able to work after regular working hours, as needed, due to electrical outages, etc. must have the ability to operate a computer as well as ordinary office equipment such as a fax, copier, printer, etc. must be able to read and comprehend federal and state regulations for the programs associated with this position and assure compliance. Must have superior organizational skills. Must have good communication skills, both verbal and written. Must use good judgment in the process of problem resolution. Must have a valid driver's license and own transportation to and from work.
