The
Executive Assistant
is responsible for the daily administrative operations of the office and provides executive-level support to the President/Owner, Vice President/General Counsel, and Chief Financial Officer. This individual also assists with personal support for the Owner and family members as needed. The ideal candidate will bring strong organization, confidentiality, professionalism, and a welcoming demeanor to the office. Key Responsibilities
Manage front desk operations, greet visitors, and handle all incoming calls. Oversee office systems, supplies, and vendor relationships (phones, printers, postage, etc.). Coordinate business meetings, catering, and conference room setup, including virtual meeting connections. Manage mail distribution, office organization, and document filing (both physical and electronic). Maintain the President’s calendar, arrange travel, and assist with correspondence and banking. Coordinate maintenance and service needs for owner residences, liaising with site staff and contractors. Support the Vice President/General Counsel and CFO on trust, foundation, and investment-related tasks. Prepare and maintain documents, reports, and schedules for key meetings and deadlines. Provide backup support for administrative staff and general assistance as needed. Qualifications
Associate’s or Bachelor’s degree or equivalent experience. Strong communication and interpersonal skills with a professional, polished presence. Highly organized and detail-oriented with excellent follow-through. Proficient in Microsoft Word, Excel, and Outlook; QuickBooks experience a plus. Familiarity with both Microsoft and Apple systems preferred. Ability to handle confidential information with discretion. Previous experience in a legal, financial, or professional office setting preferred. Willingness to take initiative and manage multiple priorities with minimal supervision.
