What is the role? We’re looking for a proactive and detail-oriented
HR Operations Specialist
to lead U.S. payroll operations and HR processes. This role ensures accuracy, compliance, and a great employee experience cross countries and across the full lifecycle — from onboarding to offboarding — while partnering closely with Finance, Legal, and People teams.
This role is hybrid to our NYC office 2-3 days in office
What You’ll Do
Manage
end-to-end bi-weekly and semi-monthly U.S. payroll
for exempt and non-exempt employees with our payroll provider, ensuring accuracy, compliance, and timely submission of federal, state, and local taxes.
Oversee multi-state payroll, including
tax registrations, SUI/FUTA filings, and compliance with wage and hour laws .
Reconcile payroll reports and work closely with Finance on GL entries and audits.
Maintain accurate employee data in
HRIS and payroll systems
(e.g., BambooHR, Deel).
Manage
benefit deductions, 401(k), bonuses , and other adjustments.
Ensure compliance with
I-9, EEO, FLSA, FMLA, ADA , and other labor regulations.
Support audits, documentation, and HR reporting.
Coordinate employee lifecycle operations: onboarding, changes, terminations, and leave management, ensuring smooth transitions, and proper documentation
Partner on HR process improvements, policies, and vendor management.
Champion annual open enrollment processes in partnership with our benefits broker.
Serve as a point of contact for employees regarding HR operations, payroll, benefits questions, etc.
Owns immigration processes
Local support for office activities
HR vendor management and budget management.
What You’ll Bring
3+ years in
U.S. Payroll, HR Operations, or HR Administration , preferably multi-state.
Strong knowledge of
U.S. payroll tax laws, filings, and compliance .
Experience with HRIS/payroll tools (BambooHR, Deel, ADP, or similar).
Excellent organization, attention to detail, and data accuracy.
Strong communication skills and ability to collaborate across teams.
Bachelor’s degree in Accounting, HR, Business, or related field.
Integrity, confidentiality, and commitment to accuracy are essential.
Knowledge of 401(k), benefits administration, and year-end processes.
Nice to Have:
SHRM-CP, PHR, or CPP certification.
Experience in global or fast-scaling organizations.
Experience in working with teams internationally.
