Position : Contract & Bid Administrator Location : Hoffman Estates, Illinois Position purposes : The Contract & Bid Administrator supports the Contracts & Litigation Manager, General Counsel, and sales personnel for Heritage-Crystal Clean, LLC.
Responsibilities
Check Shared Inboxes: check Bid Notices inbox for new bid opportunities
Download and review bid documents
Create matter in Legal Files for each new bid
Type up email to field with pertinent information
Add bid to Teams Bid Table
Check Law Dept inbox for new customer requests; add requests for customer forms, online registrations, etc. to queue
Assign other requests to the correct Law Dept team member
Check COI inbox for new COI requests; send COI to customer if already on file or generate online/request from broker if not on file
Manage Bids: organize and manage multiple bids, submit questions per bid instructions (hard copy/email/online), share answers with field
Send reminder emails to field requesting pricing, references, etc.
Fill out bid documents with required information; obtain signatures (wet or via Adobe Sign); submit completed bid per instructions
Update Bid Table spreadsheet; send award emails to field; cc CEO
Facilitate the execution of contracts
Complete Vendor Forms: create matter, fill out forms, add supporting documents, send out for signature, return forms with supporting documents
Negotiate Contracts (NDA, MSA, SA): review contracts and redline per Law Dept rules; negotiate via email/phone/Teams; facilitate contract execution via DocuSign
Assist with bills of sale and product sale/purchase agreements
Support operations, sales & marketing, finance, IT, and re-refinery operations with contractual requirements

Work Experience
1-3 years experience minimum
Education, Certificates, Licenses, or Designations
High school diploma, Contract Management Certificate or Associates Degree is preferable but not required
Specific Skills
Knowledge of Microsoft Office applications
Work Environment While performing essential duties of this position an individual regularly works indoors and may be required to sit for long periods. Individual will be required to regularly talk, hear, see and often reach with hands, stand and walk, use a computer keyboard, mouse, telephone, and other office equipment.
