The Institute for Translational Medicine (ITM) helps you live your best life by making research breakthroughs happen and getting those discoveries into the real world to improve your health as soon as possible. ITM is a partnership between the University of Chicago and Rush in collaboration with Advocate Health Care, the Illinois Institute of Technology, Loyola University Chicago, and Endeavor Health, fueled by about $35 million in grants from the National Center for Advancing Translational Sciences at the National Institutes of Health through its Clinical and Translational Science Awards (CTSA) Program. We are part of a network of more than 50 CTSA‑supported hubs across the country working to slash the time it takes to develop and share new treatments and health approaches. Imagine being the Swiss Army knife of project management, communications, executive assistance, and creative support—all rolled into one proactive professional for a mission‑based organization. You’ll be the orchestrator behind the scenes, helping a dynamic ITM director of communications and team execute strategic internal and external messaging, campaigns, projects across multiple institutions, drafting grant applications and journal articles, scheduling meetings, managing campaign participant follow‑up, study team coordination, and providing administrative support for educational programming. You’ll serve as a right‑hand executive assistant to the director of communications and help implement organizational systems to streamline workflows and move projects across the finish line. This hybrid role offers in‑person and remote work opportunities and a front‑row seat to translational science. Responsibilities

Work with the ITM Director of Communications to execute, evolve, and evaluate ITM communications projects and initiatives. Coordinate with internal stakeholders and external partners to streamline workflows. Create project timelines, delegate tasks, and follow up with multidisciplinary teams across several institutions to meet deadlines. Project‑manage and spearhead deliverables for a new ITM website initiative. Contribute to various internal and external marketing and communications campaigns and educational programming. Track milestones for the ITM, The New Normal and Save Da Hoomans campaigns, and educational programming certificates/courses. Support writing projects, including searching for funding opportunities, drafting grants, academic papers, grant summaries, memo drafts, report proofreading, and presentation decks. Maintain an executive calendar, schedule meetings, take and disseminate notes and action items, manage projects, media interviews, and cross‑institutional collaborations. Prepare, circulate, and archive agendas, meeting notes, and follow‑up action items. Organize files and systems. Collaborate on messaging for local and national initiatives and coordinate participant hand‑offs. Help manage educational initiatives involving researchers, K scholars, and workshop participants using Canvas and other platforms. Provide video editing support for social media, trimming clips and adding captions. Disseminate content that highlights ITM research and program impacts through internal and external channels. Ensure online and website content is up to date, including staff pages, events, and service lines. Contribute to the ITM’s mission of distilling complex science into engaging content across written, video, and other formats. Collect and analyze relevant project data and craft draft summaries for journal and mainstream media. Coordinate event logistics, outreach, and post‑event write‑ups. Assist with researching funding opportunities and drafting grant proposals. Maintain website pages such as employment, news, staff, project, and innovation challenge pages. Assist with other administrative projects as needed. Perform other related work as needed. Education
