SUMMARY The Sales Coordinator (Cultural Attractions – Kansas City) provides administrative support for food‑and‑beverage catering and event sales for two assigned venues. The role serves as a liaison among clients, venue partners, and location leadership to plan, detail, and execute catered events.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Provide timely communication throughout the full life cycle of the catering sales process, from initial inquiry to post‑event billing, follow‑up, and repeat business.
Communicate professionally via phone, email, and in person.
Create and maintain client files for current, future, and referral business needs.
Generate customized proposals, contracts, and internal documents that meet company specifications.
Coordinate event equipment internally or through third parties.
Ensure accurate data entry for events, including food and beverage consumption and billing.
Communicate pricing, order changes, and cost‑related details between client and venue.
Oversee set‑up and execution of events when required.
Complete Banquet Event Orders (BEOs) using specialized software to document all aspects of client events per company standards.
Document dietary restrictions and allergies and communicate them clearly.
Provide recommendations to clients to enhance their events, including food and set‑up options.
Demonstrate hospitality to all clients while maintaining sound business acumen for the venue and operations.
