The Role
We’re seeking a polished, proactive, and career-driven Executive Assistant to support a senior executive leading this new business line, as well as a small team of sales professionals across multiple U.S. time zones. This is a highly visible role requiring exceptional organizational skills, judgment, and communication. The ideal candidate thrives in fast-paced, dynamic environments and takes pride in anticipating needs before they arise.
Key Responsibilities
- Provide comprehensive administrative support to a senior executive with heavy domestic travel and client engagement.
- Manage complex calendars, meeting logistics, and time-zone coordination for a dispersed national team.
- Handle all travel arrangements and itineraries, ensuring seamless execution and proactive problem-solving.
- Process expense reports accurately and on time.
- Oversee inbox management — prioritizing, tracking, and following up on key communications.
- Prepare daily and weekly schedules, meeting materials, and executive briefings.
- Partner closely with operations leadership to coordinate onboarding, internal events, and general administrative workflow.
- Maintain discretion and professionalism while liaising with senior internal stakeholders and external partners.
- Serve as a culture carrier and organizational hub within an evolving, entrepreneurial division.
Qualifications
- Minimum of 5+ years of experience supporting senior-level executives; experience with teams across multiple time zones strongly preferred.
- Prior background in finance, investment management, or professional services helpful but not required.
- Bachelor’s degree or equivalent professional experience.
- Exceptional organizational, communication, and interpersonal skills.
- Confident, composed, and resilient — able to handle high expectations and shifting priorities with ease.
- High emotional intelligence and a true “career EA” mindset — someone who takes ownership of the executive’s success.
- Tech-savvy and comfortable operating within a hybrid work environment.
Details
- Schedule: Tuesday–Thursday in office; flexibility to come in additional days as needed.
- Compensation: Base salary range of $110,000–$130,000, plus discretionary annual bonus and comprehensive benefits.
