You’ll welcome visitors, clients, and fellow employees, answer phone calls and emails, sort and deliver mail, schedule meetings, make travel arrangements, and assist us with other operations as needed. Responsibilities

  • Welcomes visitors by greeting them and informing receiving employees
  • Assists in ordering, receiving, stocking, and distributing office supplies
  • Maintains a clean reception area and Sample Room by complying with procedures, rules, and regulations
  • Prepares labels of express mail services and courier (FedEx, UPS, etc.), and takes packages to our local vendor
  • Receives packages and distributes them by complying with company procedures
  • Retrieve USPS mail and process per company procedures
  • Responsible for ordering, receiving, stocking, and distributing office supplies
  • Assists with projects as needed
  • Assist with other administrative tasks, such as data entry, copying, filing etc.
  • Respond to incoming phone calls and emails and make sure the right people receive all important information
  • Greet visitors, clients, and fellow employees when they arrive at the front desk and provide them with any necessary directions or information
  • Schedule appointments and ensure the business calendar is accurate and up-to-date
  • Manage incoming and outgoing mail and handle deliveries
  • Keep the front office secure by ensuring all visitors follow the proper sign-in procedures
  • Plan for company trips and outings and provide itineraries to ensure off-site activities are a success

Qualifications

  • Must be dependable and trustworthy
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to speak and understand English in a manner that is sufficient for effective communication with supervisors, employees, and customers, based on the assumption that such individuals can only speak and understand English
  • Ability to communicate (written and oral) effectively with employees, other lead persons, managers, and customers
  • Demonstrate minimum intermediate skill level in computer literacy in a Windows environment, advanced skill level, and knowledge of the Microsoft Office Suite
  • Must possess a current, valid driver’s license
  • Displays impeccable interpersonal, time management, organizational, and customer service skills
  • Proficient computer skills and knowledge of Microsoft Office
  • Has experience answering telephone calls and troubleshooting stressful situations
  • At least one year of receptionist or administrative assistant, experience, or similar preferred

Compensation

$45,000 - $50,000 yearly
