Job Summary The Recruiting Coordinator plays a pivotal role in ensuring operational excellence across the Talent Acquisition function. This position is designed for a highly skilled and experienced coordinator who thrives at the intersection of administrative precision, candidate experience, and data-driven recruiting operations. This position blends administrative duties with cross-functional collaboration, supporting the Talent Acquisition team, HR, hiring managers, and candidates throughout the recruiting process.
Responsibilities
Interview & Feedback Coordination
- Partner with Talent Acquisition Managers (TAMs) and hiring managers to schedule interviews, organize feedback sessions, and ensure a seamless candidate and interviewer experience.
- Manage all candidate logistics, confirmations, and calendar coordination while maintaining accuracy and professionalism.
- Collect and organize interview feedback, ensuring consistency and timely completion of evaluation forms.
Assessment & Process Administration
- Administer Predictive Index (PI) behavioral and cognitive assessments, interview guides, and feedback forms.
- Track completion rates and ensure proper documentation and storage of assessment data.
- Maintain alignment with TA processes and compliance standards.
Data Analytics & Budget Insights
- Partner with TAMs to analyze and report on applicant flow, hiring funnel metrics, and advertising ROI.
- Assist in preparing detailed spend and performance dashboards, highlighting trends and actionable insights.
- Provide data-supported recommendations to improve recruiting efficiency and optimize ad spend allocation.
Administrative & System Support
- Provide high-level administrative support to TAMs and leadership, including preparing reports, maintaining documentation, and coordinating meetings.
- Maintain accurate records in the Applicant Tracking System (ATS) and ensure data integrity across recruiting platforms.
- Support implementation and setup of Notion software for project tracking, knowledge management, and process improvement initiatives.
Stakeholder & Client Support
- Serve as a professional liaison for both internal and external stakeholders, ensuring positive and consistent communication.
- Deliver high-quality support to hiring managers, recruiters, and candidates, balancing responsiveness with accuracy.
- Assist with continuous process improvement projects to enhance the recruiting experience.
Qualifications
Required Skills/Abilities
- Strong analytical ability with a data-driven mindset and attention to accuracy.
- Exceptional communication, organization, and interpersonal skills.
- Advanced proficiency in Microsoft Excel and/or data visualization tools (Notion, Power BI).
- Ability to manage multiple priorities with calm efficiency and strong follow-through.
- High degree of professionalism, discretion, and customer service orientation.
Education And Experience
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred (or equivalent experience).
- Minimum 3 years of recruiting coordination or HR operations experience, ideally within a high-volume or multi-state organization.
- Proven experience supporting data analytics, recruiting technology platforms, and assessment administration.
- Prior exposure to advertising budget management, recruiting dashboards, or talent acquisition reporting preferred.
