Role overview
We are hiring an Executive Assistant . This is an on-site position based in Houston, Texas . The role combines high-level calendar and operational support with a strong expectation to proactively anticipate issues, drive process improvements, and contribute entrepreneurial thinking to executive decision-making and agenda management.
The ideal candidate should be well‑organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. The individual should also draft documents and help the executive with any necessary meeting preparations.
Key responsibilities
Provide comprehensive administrative and executive support to the Regional President, including calendar management, travel coordination, meeting preparation, and follow‑up.
Anticipate conflicts and risks across schedule, travel, and stakeholder commitments and apply tangible mitigation actions to prevent disruptions.
Act as a strategic gatekeeper for the executive’s time, prioritizing requests, proposing alternatives, and ensuring decisions align with regional priorities.
Analyze operational workflows the executive touches, identify improvement opportunities, and propose practical, data‑informed solutions.
Prepare concise briefings, talking points, and executive summaries that synthesize complex information for decision‑making.
Coordinate cross‑functional stakeholders across the Americas to ensure actions and deliverables are tracked and completed.
Manage confidential information with discretion and maintain professional relationships at all levels.
Qualifications
Must be legally authorized to work and reside in the United States and located in Houston, TX .
Bachelor's degree or equivalent experience.
4+ years of executive assistant or comparable experience supporting C‑level leaders in a fast‑paced environment.
Proficient in Microsoft Office suite.
Experience in managing multiple priorities, administrative coordination, and logistics.
High level of organization, attention to detail, and capacity to anticipate needs before they arise.
Well‑organized, detail‑oriented, ability to multi‑task with great follow‑up skills.
Strong written and verbal communication skills in English; Spanish and/or Portuguese is a plus.
Demonstrated analytical ability to review processes, identify root causes, and recommend improvements.
Proven track record of handling sensitive information with confidentiality and sound judgment.
