SUMMARY Supervises administrative duties of watch officers for senior management. Performs duties of a highly confidential nature.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Commit to Strategic’s Vision, Mission, Values, and Key Success Approaches.
Identify and lead all watch officers working on designated shift.
Supervise all watch officers on designated shift.
Assign tasks and responsibilities to each Watch Officer.
Oversee staffing of open coverages and scheduled overtime delegated to scheduler.
Review tickets from prior shift to ensure all have been addressed or open tickets are assigned to Watch Officer of current shift.
Review latest “Automated Daily Watch Officer Update” from WinTeam.
Remind watch officers to place guards calling out on hold and perform an Absence Tracker review, emphasizing repeat offenders will be written up.
Cross‑reference Lighthouse with WinTeam schedule of who is working.
Contact guards who have not started a Start Shift Report or are not signed into Lighthouse, and provide descriptive directives.
Ensure a Watch Officer is assigned to be the dispatcher, signed into Team on the Run Dispatching, and is transmitting messages, wellness checks, and conducting at least 4 officer safety messages per shift.
Ensure Dashcam tracking system 24‑hours is on the supervisor’s screen and any alerts are promptly addressed.
Monitor Lighthouse map and live activity to ensure Guard Checkpoint Scans are being completed and delegated to an intelligence officer.
Monitor Lighthouse’s dashboard and Post Watch in WinTeam, ensuring notes are entered in Absence Tracker and diary.
Continuously monitor all staff and tasks assigned to ensure completion within designated timeframe.
Ensure outbound communication to account/client managers assigned to the affected account.
Supervise the day‑to‑day security operations of all client sites and SSC staff in the field.
Ensure all tasks listed on “Watch Commander Supervisor Shift Checklist” are completed and complete checklists are uploaded to SharePoint.
Set up FEMA contracts.
Provide administrative support to the call center, intelligence analysis, asset tracking, telephone coverage, copier projects, mail handling, supplies control and necessary communications.
Type correspondence, including letters, task orders, technical debriefing reports, intelligence briefs, contracts, memos, forms, policies, and procedures (including handling of confidential information).
Maintain secure files to protect confidential information.
Work independently and within a team on all projects.
Send and execute subcontractor agreements.
Create tickets for all tasks (administrative, compliance, password, payroll, service issue, service request, training, audits).
Assist account managers with management of their schedules and handle calls for them from both internal and external sources.
Assist with subcontractor agreements when necessary.
Monitor Win‑Team post watch for all jobs, verify officers on site/dispatch replacement officer and alert account managers for follow‑up.
Assist account managers with verification and response of e‑Hub alerts regarding time and attendance, issuing warnings as per policy.
Forward last‑minute “call‑out” requests via email to the account manager for handling.
Reset Paycoms.
Assist with COVID‑19 and government required paperwork such as 139s or clearance packages.
Assist in performing compliance audits of guards’ licensing in states SSC operates in, ensuring accurate information is in the system and guards are registered and tethered to the company license.
Monitor Lighthouse’s Quicksight Amazon Dashboard for activity.
Review Lighthouse and cross‑reference with WinTeam schedule of who is working.
Monitor Lighthouse reports and tracking of all clients to ensure officers are making security rounds, and perform random and infrequent quality control checks.
Monitor Lighthouse incident reports of all clients to ensure officers are writing reports utilizing principles of Who, What, Why, Where, How.
Perform random and infrequent quality control checks to ensure reports are being done and sent to clients in a timely manner.
QUALIFICATIONS
High school diploma or five years related experience and/or training; or equivalent combination of education and experience.
Knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.
Ability to work in a fast‑paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Maintain a high level of interpersonal skills to handle sensitive and confidential situations; demonstrate poise, tact, and diplomacy.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Apply basic algebra and geometry concepts.
Solve practical problems and deal with a variety of concrete variable situations where only limited standardization exists.
Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
