Sales and Events Manager

Job Summary The Events Manager is responsible for the full lifecycle management of all meetings, conferences, social events, and catering functions from contract to post‑event follow‑up. This role demands a highly organized, detail‑oriented professional with strong hospitality experience, exceptional communication skills, and the ability to navigate multiple property management and event systems simultaneously. The Events Manager ensures that every event reflects the hotel’s brand standards of excellence, efficiency, and guest satisfaction. Successful achievement of this goal will ultimately result in a major contribution to the re‑booking of the business for future dates. Maximizes revenues through effective up‑selling of products and services. Serve as the event planner primary contact during event on property and is responsible for his/her experience.
Event Sales
Proactively identify and cultivate new business opportunities for corporate, social, and group events.
Build and maintain relationships with clients, fostering repeat business and referrals.
Conduct site tours, respond to RFPs, and create compelling event proposals.
Event Planning And Execution
Serve as the primary liaison between clients and all hotel departments (Culinary, Banquets, AV, Engineering, Front Office, Housekeeping, and Accounting) to ensure seamless event execution.
Manage a full portfolio of events ranging from corporate meetings and galas to government conferences and social celebrations—with precision and professionalism.
Conduct detailed client consultations to confirm event objectives, room setups, timelines, menus, and audiovisual needs.
Create, update, and distribute Banquet Event Orders (BEOs) and Group Resumes with absolute accuracy, ensuring all details are current and verified with all departments.
Oversee all aspects of event setup and service execution, including on‑site presence during major events to ensure flawless delivery.
Maintain proactive communication with clients before, during, and after the event to confirm satisfaction, address changes, and foster long‑term relationships.
Maintain detailed notes in the event management system for traceability and accountability.
Manage multiple versions of BEOs within deadlines, ensuring version control and consistency across departments.
Conduct weekly BEO meetings with internal departments to communicate updates and ensure alignment on logistics.
Communication And Collaboration
Partner with sales, operations, and culinary teams to optimize event experiences and profitability.
Actively participate in hotel meetings and planning sessions to align events with broader business objectives.
Communicate clearly, professionally, and effectively across departments and with clients.
Translate complex event logistics into clear, actionable instructions for banquet and culinary teams.
Lead pre‑convention meetings and post‑event debriefs to review successes, challenges, and opportunities for improvement.
Build and maintain positive working relationships with vendors, planners, production teams, and internal partners.
Exhibit diplomacy and professionalism when managing last‑minute changes or guest concerns.
Systems & Administrative Excellence
Expertly navigate multiple hospitality systems, including but not limited to:
Delphi.fdc, Social Tables, TripleSeat, or equivalent CRM/Event Management platforms
Hilton OnQ, Sertifi, and DocuSign (or brand‑specific equivalents)
Generate accurate event orders, contracts, billing summaries, invoices, and post‑event reports.
Maintain detailed event files and digital documentation in compliance with hotel SOPs and brand standards.
Reconcile master bills, ensure accurate coding, and work with Accounting for timely invoicing and payment follow‑up.
Analyze event profitability and contribute to forecasting, budgeting, and post‑event reporting.
Guest Experience & Quality Assurance
Uphold hotel standards of hospitality and brand presentation in every aspect of event execution.
Anticipate guest needs and ensure that all touchpoints—from arrival to departure—are seamless and memorable.
Conduct floor inspections prior to each event to confirm room setup, cleanliness, signage, and décor accuracy.
Solicit post‑event feedback to measure satisfaction and identify opportunities for repeat business.

Required Skills, Experience And Knowledge
Bachelor’s degree in hospitality, business, or a related field (or equivalent experience).
Previous experience in event sales, planning and execution required.

Positive, can‑do attitude with a willingness to learn and adapt.
Proficiency in event management software and basic office applications is a plus.
