We’re excited to join a nationwide family of Continuing Care Retirement Communities. The Administrative Assistant will support the campus by providing a wide variety of administrative duties.
Shift Information
- Monday – Friday
- 7:30 am – 4:00 pm
In This Role
- Support various departments as needed, including preparation of greeting cards, photocopying, key requests, invoicing, filing, etc.
- Complete computer assignments (Word, Excel, Publisher, OneNote) such as mailings, invoices, mailing lists, memos, and correspondence.
- Assist with regular updating of resident electronic medical records and annual resident information updates.
- Maintain office supply inventory, ordering necessary items and running copier supplies.
- Provide support for administrative and large community events.
- Coordinate administrative meetings—set up, take minutes, schedule.
- Maintain campus contracts and certificates of insurance, updating as needed.
- Create processes and procedures for administrative functions in a common database.
- Routine filing of resident information.
- Process invoices for final administrative approval.
- Oversee large copy projects.
- Support reception desks: act as receptionist when needed.
- Provide technological training and support to Concierge on software applications and office equipment.
- Train new receptionists on new initiatives.
- Special projects as assigned by the administration office.
The Ideal Candidate
- High school diploma or equivalent.
- At least one year of related office experience providing clerical or administrative support.
- Experience in a healthcare setting.
- Highly organized, detail‑oriented with excellent interpersonal and communication skills (verbal and written).
- Ability to remain calm in an emergency situation.
- Confidentiality when circulating general information.
- Proficient with Microsoft Office Suite.
- Skillful and tactful with staff, residents, family members, visitors, and the general public; interest in working with older adults.
Compensation
$17.52 – $21.22 per hour.
