One (1) Records Clerk at Western High School (8 hours/day, 7:00am - 3:00pm) Hourly Wage Range:
$17.53- $21.56/hour, depending on experience Job Definition:
Under general supervision of the school Principal and the direction of the building secretary, performs responsible clerical work in preparing, processing, and maintaining student records. Assists with other school office clerical activities. Performs other job-related duties as assigned by supervisor. Qualifications/Requirements:

The following is a list of duties that are representative of the position and include but are not limited to: Essential Duties: Maintains student records and folders; Posts grades and class changes Requests records and other pertinent data from other schools for new students Transfers information from one record to another; Adds student photographs to records Answers inquiries by telephone or in person regarding student records Maintains confidential files Issues forms and provides information to parents regarding registration of new students Processes student records Reviews records for clerical and arithmetical accuracy and resolving discrepancies at their source Oversees the assembly, compilation, and routine processing of data and records for reports, special studies, filing, and storage Makes mathematical computations involving addition, subtraction, multiplication, and division of whole numbers and fractions Processes various documents requiring knowledge of relevant departmental policies and procedures and interaction with others. Assembles compiles and edits data and records as requested by or in anticipation of supervisor's needs. Answers telephones, receive visitors and responds to complex inquiries requiring research or interpretation of departmental policies and procedures. Makes referrals to professional staff or others as appropriate. Maintains files and cross reference indexes and assists people in retrieving materials or information Gathers information from a variety of sources and prepares reports, charts, or graphs Receives, sorts, and distributes incoming mail. Prepares outgoing mail for postal pick-up. Delivers, posts, and retrieves documents and materials at the site Operates office equipment such as personal and networked computers and printers, typewriters, fax machines, copy equipment, voice messaging and electronic mail systems, and telephone equipment Other Related Duties: May act as a receptionist May administer minor first aid Assists and instructs student workers or others in performing routine clerical work Participate in training to complete job duties Attend meetings related to assignment Performs other related duties as assigned by the Principal and/or building secretary Physical Effort and Work Environment:
Physical, mental, and emotional stamina to perform the duties and responsibilities of the position Mental acuity to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions Manual dexterity sufficient to write and use the telephone, computer, calculator, and office machines at the required speed and accuracy Vision sufficient to read handwritten and printed materials, and the display screen of various office equipment and machines Hearing sufficient to communicate in person and hold telephone conversations in the normal range (approximately 60 decibels) Speaking ability in an understandable voice with sufficient volume to be heard in normal conversational distances on the telephone and addressing groups Physical agility to sit, stand, kneel, walk, push/pull, squat, twist, turn, bend, stoop, and reach overhead Physical stamina sufficient to sustain light to medium physical labor for up to 8 hours, sit and/or walk for prolonged periods of time Physical mobility is sufficient to move about the work environment (office, district, school site to site) for sustained periods on hard flooring, climb slopes, stairs, and ramps, and respond to emergencies. Successful completion of High School Proficiency Tests (all subjects) or Demonstrated ability in competency areas Passage of an approved formal state academic assessment. Experience:
Experience with attendance and student records preferred. Knowledge of PowerSchool desired. Training and experience have provided the applicant with the knowledge and abilities to perform job duties successfully. Training in keyboarding, personal computer literacy, and general clerical operations Experience, understanding, and maintaining cooperative and effective relationships with persons of culturally and linguistically diverse backgrounds Basic English usage, spelling, grammar, punctuation, and report and/or letter writing Knowledge of: General clerical methods and office machine operation Standard office practices, including filing systems, receptionist, telephone techniques, and arithmetic English, spelling, grammar, and punctuation Skill in operating manual and automated office equipment. Ability to: Perform clerical work with speed and accuracy Understand and carry out assigned work with minimal supervision Take responsibility for using good judgment in recognizing the scope of authority Use an alpha/numeric keyboard and standard office equipment effectively with a reasonable speed and accuracy rate to complete assignments successfully.
